The Role

The Legal Support Assistant plays a key role in delivering high-quality administrative, operational and client service support to fee earners and legal teams. Acting as a trusted point of contact, you will manage a broad range of legal support activities, coordinate workflows, and ensure tasks are completed efficiently and to the highest standard.

Working collaboratively with Legal Support, Administrative Assistants and Document Production teams, you will maintain ownership of tasks from initiation through to completion, helping to drive exceptional service delivery for both internal and external clients.

Key Responsibilities

Client & Stakeholder Support

  • Build strong working relationships with fee earners, clients and internal stakeholders.
  • Act as a key point of contact for client and matter-related queries.
  • Coordinate the production of legal documents, reviewing completed work for accuracy, formatting and consistency.
  • Manage client communications, including telephone calls, emails, correspondence and message handling.
  • Maintain client, contact and business development information within firm systems.
  • Ensure compliance with client-specific protocols, processes and service requirements.

Administrative & Organisational Support

  • Manage complex diaries, meetings, travel arrangements and associated logistics.
  • Prepare agendas, meeting materials, presentations and reports.
  • Support the opening and closing of matters, client onboarding and engagement documentation.
  • Monitor key dates, deadlines and compliance requirements across matters.
  • Produce and maintain spreadsheets, trackers and management information.
  • Support business development activities, pitches, tenders and client events.
  • Coordinate printing, scanning, document collation and courier arrangements when required.

Communication & Team Collaboration

  • Manage incoming emails, correspondence and post, ensuring timely escalation and action.
  • Draft routine correspondence and communications on behalf of fee earners.
  • Collaborate effectively with colleagues across Legal Support, Business Services and legal practice groups.
  • Attend meetings, take minutes and track actions to completion.
  • Support team resourcing and provide cover during planned absences.

Financial & Matter Management

  • Assist fee earners with billing and financial administration.
  • Review time recording and disbursement allocations to ensure accuracy.
  • Support Work in Progress (WIP) management and billing processes.
  • Process expenses, payment requests and banking transactions in accordance with firm procedures.
  • Assist with matter-related financial administration, including transfers and payment processing.

Matter & Data Management

  • Maintain accurate client and matter information across firm systems.
  • Create, update and manage electronic data rooms and document repositories.
  • Undertake legal and regulatory searches and complete online submissions where required.
  • Ensure compliance with firm policies, procedures and regulatory obligations.
  • Manage workload effectively, prioritising competing deadlines and escalating issues where necessary.

What You'll Bring

Skills & Experience

  • Previous experience within a legal or professional services environment.
  • Strong client service focus with excellent interpersonal and communication skills.
  • Proven ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent organisational skills and attention to detail.
  • Ability to work independently, use initiative and take ownership of tasks.
  • Strong problem-solving skills and a proactive approach to delivering solutions.
  • Professional, adaptable and collaborative approach to teamwork.
  • High level of discretion and commitment to confidentiality.

Technical Skills

  • Experience using document management and case management systems.
  • Advanced Microsoft Office skills, particularly Outlook, Word, Excel and PowerPoint.
  • Strong document production and formatting capability.
  • Experience maintaining data integrity across multiple systems.
