About the Role

Speed Bay is seeking an experienced Lease Operations Administrator to lead lease administration and CAM charge and pool setup for a growing portfolio. This role owns the accuracy and integrity of lease data from setup through CAM charge and pool setup, and builds and refines the processes that support the accounting and leasing teams.

This individual will also provide day-to-day leadership within the lease administration function, with potential future oversight of an offshore team as the portfolio scales. The ideal candidate brings 3-5 years of lease administration or property accounting experience, strong fluency in CAM (Common Area Maintenance) charges and CAM pool setup, and the judgment to operate independently and drive process improvement with minimal oversight.

Key Responsibilities

Lease Administration & CAM Oversight

• Review and abstract commercial lease agreements, independently resolving ambiguous or non-standard lease terms.
• Own CAM charge calculations and CAM pool setup, ensuring accuracy and compliance with lease terms; support the Property Accounting Manager with data and documentation for annual CAM reconciliations and true-ups.
• Accurately input and maintain lease data in Yardi, ensuring alignment with lease terms and flagging discrepancies before they become downstream issues.
• Maintain organized, audit-ready lease files and supporting documentation.

Process & Systems Ownership

• Design, document, and continuously improve lease administration workflows and standard operating procedures as the portfolio scales.
• Identify opportunities to streamline lease setup, CAM charge and pool setup, and leasing commission processes, and implement solutions with minimal oversight.
• Serve as the go-to subject matter expert on Yardi lease setup and CAM charge and pool setup methodology for the accounting and leasing teams.

Leadership & Team Management

• Supervise, train, and mentor lease administration staff, reviewing their work for accuracy and completeness.
• Support onboarding and ongoing development of team members, with potential future oversight of an offshore lease administration team.
• Set priorities and manage workload distribution across the lease administration function.

Accounting & Cross-Functional Support

• Partner with the accounting and leasing teams to resolve complex lease setup and accounting questions.
• Oversee the leasing commission process, including invoice review and payment processing.
• Support month-end close activities and provide lease-related analysis to the Property Accounting Manager as needed.
• Partner with the Leasing Manager on the setup and administration of new leases.

Qualifications

• 3-5 years of experience in lease administration, commercial real estate accounting, or property accounting, with hands-on CAM experience
• Strong working knowledge of CAM (Common Area Maintenance) charges, CAM pool setup, and lease abstraction.
• Demonstrated ability to build, document, and improve processes and workflows with minimal direction.
• Prior experience supervising, training, or mentoring team members strongly preferred; comfort managing remote or offshore team members a plus.
• Proficiency in Yardi or similar property management/accounting systems.
• Strong organizational, analytical, and problem-solving skills with high attention to detail.
• Excellent written and verbal communication skills, with the ability to work cross-functionally and operate independently.
• Bachelor's degree in Accounting, Finance, Real Estate, or a related field preferred.

Compensation

The annual full-time base salary range for this role is $70,000 – $95,000. Specific compensation is determined through interviews and a review of relevant education, experience, training, skills, geographic location and alignment with market data. Additionally, certain positions may be eligible to receive a discretionary bonus as determined by bonus program guidelines, position eligibility and Speed Bay Senior Management approval. Speed Bay offers PTO and paid holidays, the terms of which are set forth in the program policies.
