We are looking for an Office Administrator to keep the Dubai office running smoothly across all areas of day-to-day office and administrative operations – from government paperwork and supplies through to travel, events and executive support. This role would suit a proactive, positive, helpful and highly organized individual, comfortable problem solving and reacting to the everyday administrative and functional activities around the office.
What you'll do:
- Office & facilities management – maintain day-to-day office operations including kitchen and office supplies, IT and cleaning suppliers, deliveries, PO Box checking, parking bookings and F&B for meetings and guests (coffee, tea etc.), keeping the office running smoothly
- Government & PRO administration – manage visa applications and employee visa renewals, Free-Zone visa processing, trade licence and establishment card renewals, RTA card applications, Tecom permits, insurance and medical insurance renewals; raise Purchase Orders and support legal admin tasks.
- MD & executive support – provide support to the MD including travel and expense management (Concur), VIP handling for artists and partners visiting Dubai, gifting / relationship touches and support to marketing events.
Who you are:
- Previous Experience: Office administration, PRO or executive support within a fast paced, modern, creative office environment, ideally in the UAE
- Education: Good character, team spirit and an obsession with detail, comfortable owning a busy and varied workload
- Skills: Highly organized, competent in Microsoft Office, able to navigate UAE Government and Free-Zone systems, manage schedules and suppliers, helpful to others, kind and considerate.
