The Role
unybrands operates a portfolio of consumer brands across Amazon, DTC, and retail marketplaces in the US, UK, EU, and Canada, fulfilled through multiple 3PL partners and consolidated into NetSuite. Inventory is the largest and most consequential number on our balance sheet. This role owns the accuracy of the records behind it — the quantities, movements, and transactions that inventory reporting is built on.
You are joining at a point of high influence. Our core systems are in place and the data is there; what we are building now is the control layer on top of them. Your first 90 days are about establishing that foundation — a documented close calendar, clear investigation thresholds with root causes recorded, a regular working rhythm between Supply Chain and Finance, and reporting that makes shrinkage, aging, and variance visible to the teams who can act on them. From there the ambition builds: a faster and more reliable close, Finance and Supply Chain operating as partners, and reconciliation that is system-driven and exception-based — freeing you to spend your time on the analysis that changes decisions rather than the matching that confirms them.
This is a permanent, hands-on role for someone who wants to build something and then run it well. You will do the reconciliation work yourself, supported by our operating teams and by a portfolio that spans multiple systems, channels, and partners — and you will have the mandate to design the controls and shape how our systems develop from here, rather than inherit what someone else decided. First 90 Days
The first phase is about establishing a trustworthy baseline and the controls that keep it trustworthy. By the end of it we expect:
- A reconciled and documented inventory baseline between NetSuite, Amazon, and each 3PL partner.
- A register of historical discrepancies with root causes, financial impact, owners, and resolution status.
- Material aged reconciliation items and inventory variances either resolved or submitted for formal treatment.
- A documented month-end inventory close, completed within established business day targets, covering roles, deadlines, approvals, and required supporting evidence.
- Defined variance thresholds and escalation rules submitted to Finance for agreement, that determine what gets investigated and what gets accepted.
- Standard controlling procedures for inventory receipts, adjustments, transfers, returns, removals, write-offs, and stock-count variances that ensure transaction quantity completeness and accuracy.
- A standing joint review established between Supply Chain and Finance, with an agreed cadence, agenda, and pack.
- A scalable reconciliation tracker and reporting pack for Supply Chain and Finance.
- Implemented (when within scope of remit) and specified (when broader efforts needed) improvements to data flows, system configuration, controls, and 3PL reporting.
Ongoing Ownership
Once the baseline is clean, the role becomes the permanent home for inventory accuracy at unybrands:
- Running the month-end inventory close each period, and progressively shortening it.
- Operating the reconciliation controls day to day and keeping them fit for purpose as channels, brands, and systems change.
- Owning a cycle count programme across 3PL nodes, including schedule, scope, variance investigation, and accuracy reporting.
- Producing inventory reporting to Supply Chain and Finance that moves over time from historical summaries to proactive and then predictive analysis — turnover, obsolescence risk, margin impact, and forward exposure.
- Onboarding newly acquired brands into the inventory control framework as the portfolio grows.
- Influencing system and process design as NetSuite matures, so that controls are built into configuration rather than compensated for afterwards.
Responsibilities
- Own the month-end inventory close personally — performing the reconciliations, investigating the variances, and preparing the evidence, rather than coordinating others who do.
- Conduct detailed review of inventory data and transaction flows across NetSuite, Amazon, and 3PL warehouse-management systems.
- Reconcile inventory quantities and movements, including receipts, fulfilment, transfers, returns, removals, adjustments, and write-offs.
- Maintain in-transit and transfer integrity: reconcile transfer orders, fulfilments, and receipts, including timing and period cut-off, so that goods in motion are accurately stated.
- Reconcile marketplace settlement activity — FBA removals, lost and damaged claims, reimbursements, and returns disposition — and pursue recoverable value.
- Investigate discrepancies with internal teams and 3PL partners, drive corrective action, and maintain a clear issue log.
- Identify missing, duplicate, delayed, or incorrectly mapped transactions and drive them to correction.
- Prepare, evidence, and document inventory adjustments for approval in line with agreed authority limits.
- Run stock counts and cycle counts with our 3PL partners, validate results, and resolve count variances.
- Work closely with Finance to supply reconciled information and supporting evidence for inventory reporting, valuation, and audit.
- Design simple, robust, repeatable controls and operate them day to day.
- Train and embed processes, templates, and open-action ownership across Supply Chain, Finance, and 3PL partners.
Profile
Essential
- Demonstrated experience completing inventory reconciliations or inventory-control improvement work in e-commerce, retail, consumer goods, or logistics.
- Strong hands-on experience with NetSuite or a comparable ERP.
- Experience working with Amazon inventory and settlement data, and with multiple 3PL or warehouse-management systems.
- Strong understanding of inventory movements, warehouse processes, system integrations, and reconciliation methodology.
- Advanced Excel or Google Sheets, and the ability to work independently with large and imperfect data sets.
- A collaborative operator who builds working relationships across Finance, Operations, Tech, and 3PL partners, and who sees developing processes and procedures as part of the job rather than someone else's.
- Comfortable in a hands-on, ambiguous environment, and able to drive resolution across internal teams and external partners.
- Clear communicator with strong documentation and project-management discipline.
Desirable
- SQL or BigQuery — we run a data warehouse, and reaching exception-based reconciliation will depend on querying it directly rather than exporting to spreadsheets.
- Multi-entity and multi-currency experience, ideally NetSuite OneWorld: intercompany transfers and FX on inventory are a different problem from single-entity reconciliation.
- Exposure to landed cost and inventory valuation, not only quantity accuracy.
- Experience integrating acquired businesses or new brands into an existing control framework.
Mindset
We are looking for someone who wants to grow this function, not just stabilise it — who will start with reconciliation and, over the next two to three years, build it into forecasting, risk flagging, and genuine influence over how the business runs inventory.
