The Special Projects & Programs Manager serves as a critical support role to the Chair of the Department of Integrative Medicine, coordinating a diverse portfolio of initiatives across technology (digital platforms, AI improvements, etc.), marketing, communications, education, events, media opportunities, and special projects. This role is designed for a highly organized, proactive individual who thrives in a multi-faceted environment and can effectively move projects from concept to execution while ensuring alignment across multiple stakeholders.This role requires regular onsite presence at both the Marcus Institute Villanova and Center City campuses (workdays will be scheduled at one location whenever possible to minimize travel). Please note that this is an onsite position and not eligible for remote work.
Job Description
ESSENTIAL FUNCTIONS:
- Manage and coordinate special projects on behalf of the Chair and Integrative Medicine leadership.
- Track project timelines, deliverables, and stakeholder communication.
- Ensure initiatives move efficiently from planning through implementation.
- Maintain project plans, status reports, and follow-up actions.
- Work collaboratively with administrative and clinical staff to ensure smooth coordination of projects and scheduling needs.
- Serve as liaison to IS&T and other enterprise stakeholders to manage the department’s e-commerce platform, social media presence, website infrastructure, and technology needs for new programs.
- Stay informed about emerging trends in healthcare technology, AI, digital marketing, and social media.
- Assist with implementation of integrated content strategies across websites, newsletters, blogs, video, and social media.
- Help coordinate content development that supports organizational visibility and growth.
- Identify opportunities to optimize content for both traditional search and AI-driven discovery platforms.
- Serve as a liaison between leadership and internal and external marketing partners.
- Coordinate website, blog, newsletter, social media, and content initiatives.
- Help oversee implementation of SEO and AI-search optimization strategies.
- Monitor content calendars and ensure consistency across communications channels.
- Identify opportunities to amplify thought leadership and institutional visibility.
- Assist with planning and execution of educational programs, events, workshops, and conferences.
- Coordinate logistics, communications, registration, and stakeholder engagement.
- Assist with managing planning timelines and event deliverables.
EDUCATION & EXPERIENCE:
Bachelor’s Degree required. (Degree in business, marketing, healthcare administration, or related field preferred.)
- 3+ of experience in project management, program coordination, communications, marketing, events, executive support, or related roles.
- Experience supporting senior executives or organizational leaders strongly preferred.
- Experience managing multiple projects simultaneously.
- Familiarity with healthcare, higher education, academic medicine, or nonprofit environments is a plus.
