Summary

The HR Shared Services - Candidate Experience Manager is focused on operations and bridges Talent Acquisition (TA) strategy and logistics, ensuring every touchpoint in the recruitment funnel is efficient, scalable, transparent, and candidate-centric.

Core Responsibilities

Process Design & Optimization: Streamlines recruitment workflows to eliminate friction, reduce time-to-hire, and ensure consistent candidate communication from application through onboarding handover.
 

Recruitment Technology & Tool Management: Administers and optimizes ATS (Applicant Tracking Systems), AI scheduling tools, video interviewing platforms, and candidate communication portals.
 

Logistics & Scheduling Supervision: Oversees complex interview coordination, travel arrangements, and assessment deployments, managing candidate coordinators or automation systems.
 

Data, Analytics & SLAs: Tracks candidate feedback (cNPS), SLA compliance (response times, interview turnaround), and operational bottlenecks to drive continuous process improvements.
 

Vendor & Compliance Operations: Coordinates with third-party background check providers, immigration partners, and staffing agencies while ensuring processes comply with labor laws and accessibility standards (e.g., ADA, GDPR).
 

Enablement & Stakeholder Training: Equips recruiters, hiring managers, and interviewers with standardized guidelines, templates, and best practices to ensure fair and structured candidate interactions.

Competencies Needed for Role

● Experience: Proven experience in recruiting coordination, talent acquisition, or human resources. Leadership experience is preferred.

● Communication: Exceptional verbal and written communication skills with the ability to engage empathetically yet pragmatically with diverse candidates and stakeholders.

● Technical Expertise: In-depth technical knowledge and experience in the assigned area of expertise, with a thorough understanding of underlying principles and concepts.

● Organization: Strong organizational and scheduling capabilities to manage multiple, complex tasks simultaneously.

● Tool Proficiency: Extensive experience with Applicant Tracking Systems and virtual meeting platforms.

● Confidentiality: Demonstrated ability to maintain strict confidentiality regarding sensitive hiring and candidate information.

● Collaboration: Engage closely with colleagues across the organization to deliver an integrated client experience.

● Stakeholder Communication: Guide and persuade team members, communicate complex/sensitive information clearly, and act as a key contact point for external stakeholders.

● Organizational Alignment: Demonstrate and model the organization's core values and mindset (e.g., Respect, Integrity, Service, Excellence, Stewardship; Empower, Challenge, Drive).

● Advisory Role: Act as a subject matter advisor, leveraging deep technical expertise to guide others.

Education/Experience

● Bachelor’s degree in Human Resources, Business Administration, or a related field; an advanced degree or relevant professional HR certification (e.g., PHR, SPHR, SHRM-CP) is highly desirable.

● 7+ years of progressive experience in HR Shared Services, or a high-volume recruitment HR Support environment.

● Demonstrated experience leading, mentoring, and developing teams of coordinators or specialists.

● Proven track record of optimizing end-to-end candidate experience workflows and leveraging Applicant Tracking Systems (ATS) for process efficiency.

● Experience identifying and implementing process improvements, utilizing data analytics to track metrics, and reporting on KPIs.

● Strong background in high-touch, professional candidate communication and stakeholder management.

● Knowledge of HR compliance, talent acquisition best practices, and the ability to operate in a matrixed organization.

 

Travel: 15%

Base salary and/or rate of pay ranges listed are exclusive of fringe benefits and potential bonuses. Individual compensation offers will be determined based on a variety of factors, including but not limited to geographic location, relevant candidate experience and skill, education, and/or qualifications.

Base Salary Range: $120,000-$165,000
