HR & Office Manager (100%)
JOB PURPOSE
We are looking for an experienced and hands-on HR & Office Manager to join our team in Hamburg on a permanent basis. This role combines approximately 50% local HR administration and payroll coordination with 50% office management and operational support for the Hamburg office and regional teams. The successful candidate will act as a reliable first point of contact for employees, managers, external payroll providers, office-related partners and German authorities.
The role requires excellent knowledge of German employment administration, strong organizational skills and the ability to manage a broad range of topics independently in a fast-paced international environment. In addition to supporting employees based in Germany, the role will also provide HR administration and payroll coordination for two employees based in Austria who are administratively attached to the German entity, in collaboration with a dedicated Austrian external payroll provider. A basic understanding of Austrian employment administration and payroll requirements would therefore be an advantage.
JOB RESPONSIBILITIES
Local HR Administration & Payroll Coordination
Prepare and coordinate the monthly German payroll process with our external payroll provider.
Coordinate HR and payroll-related information for our Austrian employees with the dedicated Austrian payroll provider.
Collect, review and submit payroll-relevant information, including salary changes, absences, sicknesses, benefits and other employee data.
Act as the internal coordination point between the Austrian employees, the German management team, HR Europe and the Austrian payroll provider.
Support the administration of Austrian HR matters and liaise with external advisors when required.
Coordinate vacation, overtime and “Berufsgenossenschaft”-related accrual information.
Review and follow up on time recordings in Workday.
Administer employee absences, leaves and working-time records.
Coordinate benefits, local insurance matters and other HR administration topics.
Manage business travel administration for German and Austrian employees, including A1 forms and related documentation.
Manage employee onboarding and offboarding processes.
Act as a first-level contact for employees and managers regarding local HR matters.
Maintain accurate and up-to-date employee records and ensure appropriate documentation.
Escalate complex employee relations or legal matters to the HR Europe team and external advisors when required.
Office Management & Regional Coordination
Coordinate the day-to-day operations of the Hamburg office.
Ensure the office is appropriately equipped, organized and maintained.
Order office supplies and materials.
Manage incoming mail and parcels, including coordination with DHL.
Coordinate cleaning services, water supply and other office-related services.
Act as the local point of contact for IT-related topics and coordinate with the relevant regional or global teams.
Coordinate marketing returns and clarifies shipments or returns with the Venlo office.
Provide administrative and operational support to the Hamburg-based teams.
Support regional coordination with colleagues and teams in Switzerland.
Audit & Compliance
Act as the operational contact for payroll, administrative and PwC-related audits.
Review, update and certify quarterly our HR processes for SOX controls.
Coordinate with the Import & Export teams and German authorities regarding shipments to and from the German entity.
Maintain and update relevant documentation (processes, administration...) and ensure that deadlines and follow-up actions are properly managed.
REQUIREMENTS/QUALIFICATIONS
Several years of experience in HR administration, payroll coordination, office management or a comparable combined role.
Excellent knowledge of German employment administration and payroll processes.
Fluent in German and English, both written and spoken.
Experience working with an external payroll provider.
Familiarity with time-recording systems and HRIS platforms; experience with Workday is an advantage.
Strong organizational and prioritization skills.
Hands-on, service-oriented and solution-focused approach.
Ability to work independently while collaborating effectively with international teams.
High level of discretion and confidentiality when handling employee and payroll information.
Strong attention to detail and reliable follow-up skills.
Comfortable managing multiple operational topics and stakeholders simultaneously.
