About the Role
The Administrative Generalist plays a key role in supporting smooth office operations and enabling teams to deliver exceptional service. This position requires a proactive, detail-oriented individual who thrives in a collaborative environment and demonstrates AIA’s commitment to excellence and customer care.
Roles & Responsibilities
Regulatory Compliance
- Secure business permits, building permits, pest control, sanitary, water and other mandated building permits.
Office Administration:
- Manage office supplies, raise PR/PO, and coordinate with vendors to ensure operational efficiency;
- Assist in sourcing vendors and vendors’ accreditation;
- Manage day-to-day administrative tasks, including document preparation, filing, and data entry.
Meeting & Event Support:
- Organize and schedule meetings, trainings, travel arrangements, and company events;
- Prepare agendas, take minutes, and ensure timely follow-up on action items.
Cross-Department Assistance:
- Provide administrative support to HR, Finance, and Operations teams;
- Assist with onboarding/offboarding processes and employee engagement activities.
Compliance & Confidentiality:
- Ensure adherence to AIA’s policies and maintain confidentiality of sensitive information;
- Performs other responsibilities and duties as assigned by Manager periodically.
Minimum Job Requirement
- Bachelor’s degree in Business Administration, Management, or related field.
- 1–2 years in administrative or office support roles, preferably in a corporate setting.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Customer-focused mindset, integrity, and adaptability.
- Ability to work collaboratively and maintain professionalism under pressure.
