Job Role: Franchise & Property Coordinator
Compensation range: $1,800 AUD - $2,500 AUD / Monthly
Engagement type: Independent Contractor Agreement
Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview: We are seeking a highly organised and detail-focused Franchise & Property Coordinator to provide day-to-day administrative and coordination support across franchise development, leasing, property, design and construction activities.
The successful candidate will help keep franchise and property information accurate and up to date, coordinate applications and documentation, track key dates and outstanding actions, and support new-store, renewal, refurbishment and closure activities. This role will also provide broader administrative support to Finance, IT and Payroll data-cleansing projects when capacity allows.
Key Responsibilities:
Franchise Development Support
- Maintain franchise pipelines, candidate trackers and opportunity trackers.
- Maintain LeaseEagle/ProLease data and ongoing franchise administration following the initial data cleanse.
- Maintain franchise renewal, expiry, option, rent review and other key-date trackers.
- Coordinate franchise applications, NDAs, interviews, approvals and related documentation.
- Prepare and maintain complete franchisee files, ensuring all required documentation is in place.
- Coordinate administration for new stores, resales, renewals and settlements.
- Follow up outstanding actions with franchisees and internal teams to keep processes moving.
- Prepare weekly and monthly pipeline reports and meeting updates.
Leasing & Property Support
- Maintain LeaseEagle/ProLease data and ongoing lease administration following the initial data cleanse.
- Maintain lease renewal, expiry, option, rent review and other key-date trackers.
- Upload and maintain lease documents, landlord correspondence and property records.
- Assist with new-site administration, due diligence packs and approval documentation.
- Coordinate landlord documentation and follow up outstanding leasing actions.
Design & Construction Support
- Maintain and support refurbishment and closure trackers.
- Coordinate and file plans, quotes, approvals, permits and other project documentation.
- Assist with purchase orders, invoice tracking and project cost administration.
- Follow up with suppliers and contractors regarding outstanding documentation and project actions.
- Support handover and store-opening administration, including close-out documentation.
General / Shared Support
- Maintain accurate data across systems to improve consistency between Franchise, Property and Finance.
- Assist with document filing, reporting and general administration.
- Provide additional support for agreed Finance, IT and Payroll data-cleansing and administrative projects when Franchise & Leasing workload allows.
Required Skills and Qualifications:
- Experience in franchise, leasing, property, or related administration, with the ability to manage documentation, trackers, key dates and follow-ups.
- Strong organisational skills and the ability to manage multiple tasks, deadlines and priorities accurately.
- High attention to detail when maintaining records, documentation and business data.
- Experience coordinating administrative processes across multiple stakeholders, including internal teams, franchisees, landlords, suppliers and contractors.
- Strong follow-up skills, with the ability to proactively track outstanding actions and keep processes moving.
- Experience maintaining structured data and records across business systems; experience with LeaseEagle and/or ProLease is highly regarded.
- Strong written and verbal communication skills, with the ability to communicate professionally with a range of stakeholders.
- Experience supporting reporting, data cleansing, document management and general administrative activities.
- Ability to work independently, manage competing priorities and provide reliable administrative support across Franchise, Leasing, Property, Design and Construction functions.
