What you will be doing

As Finance & Operations Manager, you will own day-to-day finance operations and business administration for our Ukraine team. You will help ensure that payments, budgets, documentation, and recurring administrative processes run accurately, on time, and with clear visibility. This is a hands-on individual contributor role for someone comfortable owning processes end-to-end, working with external service providers, and bringing structure to a fast-growing environment.

Responsibilities

• Own day-to-day financial operations, including payment planning, payment coordination, and cash flow visibility
• Track budgets, actual spending, and operating expenses, helping the team maintain financial control as the business grows
• Monitor accounts payable and accounts receivable and ensure financial commitments are tracked and followed through
• Coordinate with external accounting and administrative service providers on accounting, documentation, payroll, and related recurring processes
• Prepare regular financial and operational reporting to support management decision-making
• Maintain contracts, financial documentation, registers, and recurring operational deadlines
• Coordinate employee-related administration, including payroll inputs, benefits, insurance, and other recurring processes
• Support the administrative side of employee onboarding and offboarding in coordination with internal teams and external providers
• Identify gaps and inefficiencies in finance and administrative workflows and help improve them
• Build and maintain clear processes, documentation, and SOPs within your area of ownership
• Work closely with the Operations Lead and other teams in Ukraine and the US to support the growing Ukraine operation

You should have the following

• 3–5+ years of experience in finance operations, financial control, management accounting, finance & administration, or a similar hands-on role
• Practical experience with budgeting, cash flow management, payment operations, and expense control
• Good understanding of P&L and management reporting
• Experience working with Ukrainian legal entities and local financial and administrative requirements
• Experience coordinating with outsourced accounting or other external service providers
• Strong Excel or Google Sheets skills and confidence working with financial data
• High attention to detail, particularly when working with numbers, documents, and deadlines
• Strong ownership mindset, you are comfortable independently managing your area and following things through to completion
• Ability to prioritize multiple recurring and ad hoc tasks in a fast-moving environment
• English at approximately B1+ level for written communication and collaboration with international colleagues

• Experience in a startup, technology, defense tech, manufacturing, or other fast-growing environment
• Experience with people or HR administration
• Experience building finance or administrative processes from scratch
• Familiarity with working across Ukrainian and international teams
