Job Description

About the Role  

Working under minimal supervision, the Facilities Project Manager provides project management services for facilities-related projects supporting operational needs across the institution. This role focuses on the coordination and delivery of large repair projects, small to mid-size renovations, and major technical or infrastructure upgrades. 

 

The Facilities Project Manager will manage projects typically ranging from approximately $10K to $2M+, including building system repairs, interior renovations, space reconfigurations, deferred maintenance, and upgrades to critical infrastructure (HVAC, electrical, life safety, and other technical systems). 

 

This role works closely with internal stakeholders across all divisions, as well as external consultants, contractors, and vendors, to define project requirements, coordinate execution, and ensure successful delivery. The position reports to the Associate Director of Facilities with a dotted line to the Capital Programs Senior Project Manager. 

 

The successful candidate will demonstrate strong coordination and communication skills, the ability to manage multiple concurrent projects, and a collaborative approach aligned with an institutional culture that values collegiality, trust, and transparency. 

 

S/he/they will demonstrate a background of working directly with people from diverse racial, ethnic, geographic, and socioeconomic backgrounds, using a welcoming, inclusive, and accessible approach. 

This is a limited-term position, currently budgeted for one year.

 

Essential Duties  

  • Develops project scopes and objectives in collaboration with stakeholders, ensuring alignment with operational needs and technical feasibility. 

  • Manages a portfolio of facilities projects, including large repairs, renovations, and system upgrades. 

  • Develops and manages project budgets; tracks expenditures to ensure alignment with approved funding and scope. 

  • Develops project schedules and ensures timely delivery with minimal disruption to campus operations. 

  • Coordinates with internal departments, contractors, consultants, and vendors throughout all phases of projects. 

  • Oversees procurement processes, including scopes of work, bid coordination, and contract administration. 

  • Ensures projects comply with applicable codes, regulations, and institutional standards. 

  • Identifies, assesses, and manages project risks and operational impacts. 

  • Reviews plans, specifications, and technical documents to support project execution. 

  • Coordinates project activities in active, occupied environments with sensitivity to visitors, staff, and collections. 

  • Prepares, maintains, and administers project documentation and reporting. 

  • Supports continuous improvement of facilities project delivery processes. 

  • May perform other project-related and departmental duties as assigned. 

 

Candidate Requirements and Experience  

  • Strong written and verbal communication skills, with a proactive and solutions-oriented approach. 

  • Bachelor’s degree in Construction Management, Engineering, Architecture, Facilities Management, or a related field (or equivalent experience). 

  • Minimum of 5 years of experience managing facilities-related projects, including repairs, renovations, and building systems upgrades. 

  • Demonstrated experience managing multiple concurrent projects in operational or occupied environments. 

  • Experience coordinating with internal stakeholders and external vendors/contractors. 

  • Strong organizational and time management skills, with the ability to manage competing priorities. 

  • Working knowledge of building systems (HVAC, electrical, plumbing, life safety, etc.). 

  • Ability to read and interpret plans, specifications, and technical documents. 

  • Understanding of project risks and ability to proactively address issues. 

  • Self-starter with strong problem-solving skills and sound professional judgment. 

  • Strong customer service orientation with emphasis on collaboration and responsiveness. 

  • Proficiency in Microsoft Office (Word, Excel), project scheduling tools (MS Project or similar), and plan review tools (e.g., Bluebeam); familiarity with AutoCAD is a plus. 

 

Working Conditions   

  • The Huntington campus is extensive and diverse; this role requires working across indoor and outdoor environments. 

  • Regular site walks, coordination in active construction/repair areas, and interaction with staff and visitors are required.

  • Pay Range: $75,000.00-$80,000.00 annually. Commensurate with experience.
