Job SummaryThe Admin Coordinator is responsible for independently handling administrative The Facilities Coordinator is responsible for coordinating and supporting the day-to-day operation, maintenance, and administration of the Chemtech Field Services facility in Humble, Texas. This position serves as a key point of contact for facility-related activities, ensuring a safe, efficient, and well-maintained work environment for employees, visitors, and contractors. The role coordinates building services, vendor activities, preventative maintenance programs, workspace planning, and compliance with company safety and environmental standards.
Key Responsibilities
Facility Operations
- Coordinate daily facility operations to ensure the site remains clean, safe, functional, and compliant.
- Monitor building systems including HVAC, electrical, plumbing, lighting, fire protection, and security systems.
- Submit and track maintenance requests and corrective actions.
- Assist in developing and managing preventative maintenance schedules.
- Conduct routine facility inspections and identify opportunities for improvement.
Vendor and Contractor Management
- Coordinate third-party service providers, contractors, and vendors performing work on site.
- Ensure contractors comply with site safety requirements and company procedures.
- Track vendor performance, service agreements, and contract renewals.
- Support procurement activities related to facility services and supplies.
- Review invoices for accuracy and process documentation in accordance with company procedures.
Safety and Compliance
- Support site compliance with company HSE policies and applicable local, state, and federal regulations.
- Participate in safety inspections, audits, and corrective action tracking.
- Maintain facility records, permits, emergency response documentation, and inspection reports.
- Assist with emergency preparedness planning and business continuity activities.
- Coordinate facility-related safety training and communication efforts.
Space and Asset Management
- Coordinate office moves, workspace assignments, and furniture installations.
- Maintain facility asset inventories, including office equipment, furniture, and common-area resources.
- Support receiving, storage, and distribution of facility-related materials and supplies.
- Monitor inventory levels of consumables and coordinate replenishment.
Administrative Support
- Maintain facility budgets and spending records assigned.
- Generate reports related to work orders, maintenance activities, and facility performance metrics.
- Support employee onboarding by coordinating workspace setup, access badges, and facility orientation.
- Assist leadership with facility improvement projects and capital planning initiatives.
Qualifications
Education
- Associate degree in Facilities Management, Business Administration, Construction Management, or a related field preferred.
- Equivalent combination of education and relevant experience will be considered.
Experience
- 3 to 5 years of experience in facilities coordination, office administration, building operations, or related support functions.
- Experience coordinating vendors and maintenance contractors preferred.
- Industrial, field services, manufacturing, or energy industry experience is a plus.
Knowledge and Skills
- Knowledge of facility operations and maintenance practices.
- Understanding of workplace safety and compliance requirements.
- Strong organizational and project coordination skills.
- Ability to manage multiple priorities and meet deadlines.
- Proficiency with Microsoft Office applications, including Excel, Outlook, Word, and Teams.
- Experience with CMMS, work order, or facilities management systems preferred.
- Strong interpersonal, customer service, and communication skills.
- Ability to work independently while collaborating effectively with cross-functional teams.
Physical Requirements
- Ability to walk throughout the facility and outdoor work areas.
- Ability to occasionally lift and move materials up to 25 pounds.
- Ability to perform inspections in offices, warehouses, and industrial environments.
