Job Summary

To act as the central point of contact for workplace operations, coordinating vendors, managing supplies, and providing administrative support.

Job Responsibilities

Front Desk Duties

• Greet/ host/ provide support for guests, visitors and employees - Reception
• Assist associates with security and access applications
• All other duties requested by RAD and CRE Geo Lead
• Help create positive Workplace Experience by welcoming staffs and guests warmly

General Office Duties

• Maintain all conference rooms for cleanliness / reserve conference rooms
• Manage the inventory of all technical, office, and pantry supplies.
• Communicate concerns associated with all building services including janitorial, mailroom, copier services, parking, and conference rooms to stakeholders, CRE Geo Lead and RAD
• HSSE required process to be complied with including government mandated compliance and Visa HSE mandates
• Coordination with Building management Office and processing BMO related permits, etc
• Resolve problems associated with all building services including janitorial, mailroom, copier services, and conference rooms.
• Assists with the coordination and scheduling of office/building activities
• Partner with facility services and management teams / technical support to maintain a safe, comfortable environment
• Weekly Facility Walk through
• Support HSE related deliverables

• Help create positive Workplace Experience by welcoming staffs and guests warmly

Vendor Coordination

• Oversee the cleaning service provider and other vendor partners to ensure quality standards are met.
• Oversee technical services, be able to coordinate with local FMOD/ MTS team for visits and works needed
• Coordination with pantry and office supplies vendors for delivery and implementation
• Serve as the primary liaison between the HK team, technical support, and external vendors to schedule and manage all on-site work (e.g., maintenance, cleaning, pest control).

Elevating Workplace Experience

• Execute Workplace Experience activities initiatives as needed and create a positive work environment.
• Provide office support for office events and meetings.

• Create programs for sustainability
• Take part in New Hire Orientation to induct new hires on CRE services and amenities including walkthrough to showcase the site

Qualifications

·       Knowledgeable in Facility related services/ management with 3-5 years experience

·       Skilled in identifying facility related improvements on site

·       Experienced in vendor and Building Management coordination

·       People Person: The best part of serving others is creating experiences for them that go beyond expected

·       Flexibility and positive attitude in managing shifting daily priorities

·       Has the ability to communicate professionally through spoken and written word.  Able to communicate in English is preferred.

·       Ability to multi-task and prioritize while ensuring consistent and elevated guest experiences and accuracy

·       Working knowledge of Microsoft Office suite (Teams, Excel, PowerPoint, Word, and Outlook)
