Job Description:

The Job/What You'll Do:

The Executive Support & Charitable Giving Coordinator provides dedicated administrative support to the Executive Vice President, Head of Advisor Sales, while serving as the primary coordinator for AssetMark’s Charitable Giving program and the Concord office’s charitable giving and volunteer activities.

This role combines high-level executive support with hands-on program coordination, employee engagement, and onsite event execution. The Coordinator is responsible for keeping executive priorities organized and moving forward while ensuring AssetMark’s charitable giving programs are administered consistently, effectively, and with a strong employee experience.

As the primary Charitable Giving Champion for the Concord office, this position maintains a regular onsite presence to coordinate local volunteer activities, engage employees, support nonprofit and community partners, execute onsite events and campaigns, and serve as a visible point of contact for charitable giving activities.

Responsibilities:

Executive & Administrative Support:

  • Provide dedicated administrative support to the EVP, Head of Advisor Sales, including complex calendar management, scheduling, meeting coordination, travel arrangements, expense reporting, document preparation, invoice processing, and follow-through on commitments.
  • Proactively manage competing priorities and anticipate scheduling, meeting, travel, and administrative needs.
  • Coordinate internal and external meetings, executive engagements, leadership events, and other activities, including agendas, presentations, logistics, attendee communications, and action items.
  • Partner with the EVP and key stakeholders to ensure appropriate preparation and follow-through on meetings, deliverables, and business priorities.
  • Support Concord Sales & Marketing events, client and advisor engagements, and other business initiatives, including coordinating logistics, materials, communications, scheduling, vendor needs, and onsite execution.
  • Serve as a trusted partner who exercises sound judgment, handles confidential and sensitive information appropriately, and identifies issues requiring escalation.
  • Build effective relationships across the organization to facilitate communication, coordination, and timely execution on behalf of the EVP.

Charitable Giving Program Support:

  • Manage the day-to-day coordination and administration of AssetMark’s Charitable Giving program, including annual program calendars, workflows, deadlines, employee inquiries, communications, records, and the program inbox.
  • Administer the Uncommon Giving platform and associated processes, including employee access, matching gifts, charitable donations, volunteer opportunities, campaigns, and issue resolution or escalation.
  • Coordinate employee charitable giving campaigns, including nonprofit nominations, voting and selection processes, matching campaigns, announcements, employee communications, and follow-up.
  • Maintain Charitable Giving resources, FAQs, Hub/intranet content, Workday forms, templates, program documentation, and supporting materials.
  • Track and report program participation, employee and company donations, matching activity, volunteer engagement, VTO utilization, and other program outcomes.
  • Prepare nonprofit correspondence, charitable contribution documentation, usage reports, participation summaries, and other program materials.
  • Coordinate company-wide volunteer initiatives in partnership with local Volunteer Leads, Workplace Experience, nonprofit partners, Internal Communications, and People & Culture.
  • Establish consistent processes, resources, and communications for local Volunteer Leads across AssetMark locations.

Knowledge, Skills, and Abilities:

  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Ability to learn and effectively use Workday, Uncommon Giving, Concur, and other business systems.
  • Strong organizational and project coordination skills, with the ability to manage competing priorities, meet deadlines, coordinate events and communications, and maintain accurate records and program data.
  • Clear, concise, and professional written and verbal communication skills, with the ability to adapt communication style and interact diplomatically with senior leaders, employees, vendors, and community partners.
  • Sound judgment and discretion when handling confidential information, resolving issues, identifying when to escalate concerns, and supporting sensitive business, employee, and Charitable Giving matters.
  • Proactive, dependable, flexible, and service-oriented approach, with the ability to work independently, anticipate needs, take ownership, and collaborate effectively.
  • Ability to build strong working relationships across functions and levels of the organization.
  • Strong attention to detail and follow-through, particularly when managing multiple deadlines, events, communications, and executive priorities.
  • Commitment to supporting employee engagement, charitable giving, volunteer initiatives, and a positive employee experience.

Education & Experience:

  • 2–5 years of experience working in an administrative assistant, coordinator, executive support, or similar capacity.
  • Experience managing calendars, meetings, travel, events, communications, and other administrative activities.
  • Experience coordinating multiple priorities, projects, or programs with strong attention to deadlines and follow-through.
  • Experience supporting senior leaders and handling confidential or sensitive information preferred.
  • Experience supporting employee engagement, charitable giving, volunteer programs, events, or community partnerships is beneficial.

Compensation: The Base Salary range for this position is between $80,000-$90,000. This information reflects a base salary range that AssetMark reasonably expects to pay for the position based on a number of factors which may include job-related knowledge, skills, education, experience, and actual work location. This position will also be eligible for additional variable incentive compensation and competitive benefits.
