The Role
The Executive Business Partner role is focused on helping our Chief Technology Officer become more effective through process, technology, and ways of working. While this will include some day-to-day support activities including limited calendar management - the primary focus of this role will be on projects and process improvements to change how we work.
This means diagnosing where our CTO is losing time, information, or leverage — then running a project to fix it. That could be redesigning how information flows to the executive before a critical meeting, building a system so follow-ups never get dropped, or optimizing how information flows up from the team to the executive. AI tools are a core part of how you work: you're expected to use them to move faster on research, drafting, synthesis, and system-building, and to bring in new AI-driven approaches wherever they can make our CTO more effective.
A smaller part of the role involves light day-to-day support to keep things running while you work on the bigger picture.
Responsibilities
Effectiveness Projects
- Identify where the executive is spending time, attention, or energy inefficiently, and scope a project to fix it
- Design and build systems that improve how information, decisions, and follow-ups move to and from the executive (e.g., a better meeting prep process, a cleaner decision log, a tighter action-item tracker)
- Own discrete projects the executive assigns that are aimed at unblocking their own effectiveness — preparing them for a high-stakes negotiation, restructuring how their staff meeting runs, cleaning up a reporting process that wastes their time
- Build and maintain the infrastructure that keeps the executive's priorities visible and on track across the organization, without the executive having to chase status themselves
- Run pilot projects to test new ways of working before scaling them across the executive's team
- Evaluate and deploy AI tools that reduce the executive's workload — meeting summarization, research synthesis, drafting assistance, automated status tracking — and build the workflows around them so they stick
- Own the planning, logistics and itinerary for team offsites and events both internal to the team and cross functionally across the company. Automating these via AI is a plus.
Day-to-Day Support
- Coordinate scheduling for the executive's most complex commitments — multi-stakeholder internal meetings, board and leadership sessions, and external meetings with candidates, customers, partners, investors, or other outside parties
- Manage the logistics of executive-to-executive coordination, including aligning calendars and priorities across other senior leaders
- Prepare quick briefings ahead of key meetings related to your project work, using AI tools to synthesize background, prior context, and relevant materials efficiently
- Handle the administrative details that keep your projects moving
Desired Skills & Experience
- 5+ years in a role focused on operational improvement, process design, or project execution — Chief of Staff, Business Operations, Program Manager, or similar — ideally at a software or technology company
- Strong project management instincts: you can scope, plan, execute, and measure the impact of your own work
- Comfort diagnosing inefficiency without waiting to be told exactly what's broken
- Fluency with AI tools and a habit of reaching for them to work faster — research, drafting, summarization, and building lightweight automations
- Clear written communication for project plans, recommendations, and results
- Good judgment and discretion with sensitive information
- A bias toward action — you'd rather run a small pilot and learn than write a long plan
