Supply Chain & Manufacturing is where our brands are made, moved and delivered to the world.
With over half of our people working across more than 100 sites, this is a complex, large-scale operation that brings together production, logistics, engineering and supplier partnerships.

About the Role:
The Executive Assistant – Supply Director & Site Coordination is a high-impact role supporting the Supply Director Australia while helping coordinate key activities across the Huntingwood Supply organisation. You’ll be a trusted partner who keeps a complex executive agenda moving, anticipates priorities and ensures meetings, travel, communications and business activities run seamlessly.
Alongside executive support, you’ll play a key role in coordinating leadership visits, site events and employee engagement initiatives, connecting people and priorities across the site.
This is a fixed-term opportunity covering family leave from 1 December 2026 to 1 December 2027.
Role Responsibilities:
- Proactively manage the Supply Director’s complex calendar, priorities, meetings and follow-ups, ensuring time is focused on the most critical business priorities.
- Coordinate domestic and international travel, expenses, invoices and other executive administration with accuracy and confidentiality.
- Coordinate Supply Leadership meetings, workshops, town halls and key site activities, including agendas, meeting materials, rooms, technology and catering.
- Manage logistics for regional and global leadership visits to Huntingwood, coordinating site access, transportation, PPE, tours, agendas and stakeholder requirements.
- Support employee engagement activities including site celebrations, recognition, raffles, employee store initiatives and other events that contribute to a positive site experience.
- Prepare and coordinate executive presentations, meeting packs, correspondence and communications for the Supply Director and Leadership Team.
- Act as a proactive coordination point across Supply, site, regional and global stakeholders, anticipating needs, resolving issues and continuously improving ways of working.
Experience / Skills Required:
- Proven experience as an Executive Assistant, Personal Assistant, Team Coordinator, Senior Administrator or similar role supporting senior leadership.
- Strong experience managing complex calendars, competing priorities, meetings and executive requirements in a fast-paced environment.
- Experience coordinating domestic and international travel, expenses, invoices and other executive administration.
- Strong organisational skills with exceptional attention to detail, follow-through and ability to anticipate what is needed.
- Excellent communication and stakeholder management skills, with confidence working with senior leaders and stakeholders at all levels.
- High level of discretion and judgement when managing confidential and sensitive information.
- Strong Microsoft Office capability, particularly Outlook, Teams, PowerPoint, Word and Excel; experience with Concur, SharePoint or similar systems is advantageous.
