Position Summary
This is an opportunity for a highly organized, strategic, and proactive professional to provide executive administrative support within Aetna's executive leadership team.
This is an onsite position at our Hartford, Connecticut office.
The Executive Assistant (EA) serves as a trusted partner to the EVP & President of Aetna and to other senior leaders, anticipating needs, identifying risks and opportunities in advance, and exercising sound judgment in a fast-paced, highly visible environment.
The ideal candidate will bring strong planning, prioritization, and time management skills, keeping complex calendars and scheduling operations running smoothly and efficiently across the Aetna Executive leadership team. The EA will build credible working relationships with the leadership team and colleagues across the enterprise, communicate on behalf of leaders with clarity, and help develop team building and engagement activities. The position requires flexibility, including additional hours as needed to support key business events, travel, and time-sensitive priorities.
Responsibilities
- Proactively coordinate the daily schedules, calendars, contacts, and travel of the EVP & President and other members of the executive leadership team, including internal and external meetings, conferences, seminars, and comprehensive, detailed itineraries.
- Evaluate meeting requests and prioritize executive time in alignment with business objectives; balance competing demands across multiple leaders, anticipate scheduling conflicts, and recommend solutions in advance.
- Partner with the EVP & President to shape priorities and sequence the week; synthesize information, prepare briefings, and surface emerging issues, risks, and opportunities before they escalate.
- Serve as the primary point of contact for colleagues, enterprise leaders, and external guests; triage a high volume of phone and email communications, route matters to the right resource, and collaborate with executive assistants and chiefs of staff across the leadership team, safeguarding confidential information at all times.
- Prepare executives for meetings by assembling relevant background, materials, and agendas; document notes, identify action items, and drive follow-up to completion, tracking deliverables, timelines, and deadlines and escalating issues as appropriate.
- Lead the planning and execution of complex meetings and events, including business reviews, talent reviews, strategy sessions, off-sites, and telepresence events, covering AV, room scheduling, set-up, catering, and follow-up.
- Design and coordinate team building and engagement activities for the leadership team.
- Draft, edit, and finalize correspondence, presentations, agendas, spreadsheets, and reports; prepare and distribute weekly email updates to relevant stakeholders.
- Process reimbursements and expense reports in accordance with established policy guidelines, tracking expenses and following up in a timely manner.
- Take on special projects as designated, support other members of the leadership team as necessary, and perform other duties as assigned.
Required Qualifications
- 7+ years of administrative experience supporting senior leadership.
- Experience maintaining executives' phone coverage, calendars, and work and travel schedules in Microsoft Outlook.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Strong discretion and sound judgment in handling confidential information.
- Track record of building strong relationships and influencing outcomes through collaboration.
- Experience balancing calendars and competing priorities across multiple executives.
- Clear, concise executive-level writing that distills complex information into actionable summaries.
- Strategic, forward-looking approach to problem solving; anticipates needs and adjusts meetings and content as priorities shift.
- Comfortable working independently and as part of a team.
- Experience planning meetings, events, or employee engagement programs.
Preferred Qualifications
- Experience supporting C-suite or enterprise-level executives in a large, complex organization.
- Advanced Microsoft Office Suite skills, especially PowerPoint.
- Experience in the healthcare of insurance industry.

The typical pay range for this role is:
$82,940.00 - $182,549.00This pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls. The actual base salary offer will depend on a variety of factors including experience, education, geography and other relevant factors. This position is eligible for a CVS Health bonus, commission or short-term incentive program in addition to the base pay range listed above.
