Your role:
We are looking for a versatile, hands-on Executive Assistant & Coordinator responsible for managing daily office management, corporate logistics, employee experience, and administrative functions.
Here you’ll get to:
Procurement & Vendor Sourcing: Manage the end-to-end purchasing cycle for office supplies and equipment, negotiate supplier pricing, issue Purchase Orders (POs), and ensure policy compliance.
Facilities & Security Operations: Oversee office upkeep, repairs, and expansion in partnership with facility partners (Smartworks); manage access control, ID issuance, and office security.
Travel & Event Logistics: Coordinate corporate travel (flights, hotels) and local ground transport; lead end-to-end setup for company events, guest hospitality, celebrations, and custom catering.
Employee Onboarding & IT Coordination: Oversee the operational onboarding workflow, focusing on laptop provisioning and timely IT equipment delivery to new hires.
Future Executive Support: Scale into managing complex calendars, global/local meeting coordination, and scheduling priorities for leaders in India as required.
About you:
You have 5+ years of experience as an Executive Assistant, Office Administrator, Facilities Coordinator, or similar role.
You have strong negotiation skills with a clear understanding of procurement and PO generation processes.
You have excellent multitasking and organizational abilities.
Problem-solving attitude with a proactive approach to facility and maintenance issues.
You have good communication skills for coordinating with vendors, management, and internal staff
You are open to working in a hybrid setup, while attending the office as business needs require
