About the Role

The Executive Assistant will provide high-level administrative support to the Head of Firm and Product Strategy, as well as broader support to his team within the Enterprise Strategy Group. The group helps shape the firm’s commercial strategy and resource allocation and serves as a center of excellence for industry and competitive insights. Its responsibilities include supporting strategic initiatives across the firm and advancing product and fund development, product prioritization, sales campaigns, and business planning. The ideal candidate is an experienced Assistant with exceptional organizational and multitasking skills, strong attention to detail, strong written and verbal communication, sound judgment, diplomacy, and a highly service-oriented approach. They will be a collaborative team player who can anticipate needs, exercise discretion, and manage competing priorities in a fast-paced, deadline-driven environment.

 

RESPONSIBILITIES

The Executive Assistant will manage the day-to-day support needs of the leader and the broader team, including:

·Own and strategically manage a highly complex and dynamic calendar, scheduling across multiple time zones for a global team. Identify conflicts, anticipate challenges, protect focus time, and proactively recommend solutions as priorities evolve.

·Coordinate logistics for internal and external meetings, leadership sessions, offsites, and special events, partnering with colleagues across the firm to ensure a seamless experience.

·Arrange complex domestic and international travel, including detailed itineraries, transportation, and accommodations.

·Prepare and submit expense reports accurately and in a timely manner.

·Prepare reports, presentations, meeting materials, and other business documents using internal and external information systems.

·Provide cross-coverage and backup support to other Assistants and related leadership groups.

·Support ad hoc projects and strategic initiatives, partnering with the immediate team and stakeholders across the firm.

·Build strong relationships across the firm to work effectively and solve problems collaboratively.

·Contribute to the broader administrative community through partnership, knowledge sharing, and cross-coverage support, helping foster a collaborative and high-performing team environment.

 

QUALIFICATIONS

·At least five years of experience supporting senior leaders in an administrative role within professional services, financial services, or a similarly complex, fast-paced corporate environment.

·Advanced proficiency in Microsoft Office (Word, Excel, Outlook, OneNote, and PowerPoint), along with a demonstrated openness to new technologies, AI applications, and digital tools that enhance efficiency, streamline workflows, and improve business outcomes.

·Intellectually curious and committed to continuous improvement; proven experience in identifying opportunities to simplify processes, improve workflows, challenge existing practices, and drive operational effectiveness.

·Exceptional communication, interpersonal, and relationship management skills. Demonstrates the judgment, professionalism, and executive presence needed to communicate on behalf of senior leadership, represent executive priorities, and build credibility with stakeholders across the organization.

·Strong partnership orientation and a collaborative approach to working with senior stakeholders, peer assistants, and cross-functional teams. Maintains the highest levels of discretion when handling confidential and sensitive information.

·Excellent organizational, analytical, and project management skills. Effectively manages competing priorities, coordinates complex activities, tracks commitments, and ensures follow-through across multiple workstreams with a high degree of accuracy and attention to detail.

·Adaptable, proactive, and resilient in a fast-paced environment. Anticipates needs, navigates ambiguity, responds effectively to changing priorities, and approaches challenges with a positive, solutions-focused mindset.

·An interest in financial markets, investment management, and the broader business of finance is highly valued, as developing a strong understanding of the firm's operations, strategic priorities, and industry landscape will be critical to success in the role.

·This role requires an in-office presence in our Boston office from approximately 8:00 AM to 5:00 PM, four days per week, with one remote workday.

At Wellington Management, our approach to compensation is designed to help us attract, inspire and retain the best talent in our industry. We strive to pay employees fairly and competitively across all levels and roles. Our approach to compensation considers all aspects of total compensation; all employees are eligible to receive salary, variable compensation, and benefits. The base salary range for this position is:

USD 60,000 - 110,000

This range takes into account the wide range of factors that are considered when making compensation decisions, including but not limited to skill sets; role; skills and experience; certifications; and education. This range is an estimate, and further details on salary and total compensation aspects will be shared with candidates during the recruitment process.   

 

Base salary is only one component of Wellington’s total compensation approach. Other rewards may include a discretionary Corporate Bonus and/ or Incentives, if eligible.
