Job Description

This is a high-impact opportunity for an experienced executive administrative professional to support the Vice President, Global Supply Chain in a fast-paced, global corporate environment. The VP, Global Supply Chain leads Agilent’s global Supply Chain organization and is accountable for enabling reliable customer delivery, effective planning and execution, inventory and working capital performance, procurement and supplier execution, logistics, and continuous improvement across the global network. The role partners extensively across businesses, functions, and geographies to advance Agilent’s Supply Chain strategy and enterprise priorities.

The Executive Assistant to the VP, Global Supply Chain serves as a trusted partner and central point of coordination for a complex global organization. This role manages advanced, confidential, and diversified activities requiring strong business judgment, executive presence, organizational knowledge, and the ability to anticipate needs, solve problems, and operate independently with minimal direction.

This role will be located at Agilent’s office in Wilmington, Delaware. Given the global scope of the organization, the position requires flexibility to support leaders, meetings, and priorities across multiple regions and time zones, with occasional travel or additional on-site presence for leadership meetings, executive reviews, and special events.

Responsibilities include:

  • Executive & Calendar Management: Manage the VP's complex global calendar, travel, meeting preparation, and priorities, ensuring effective use of time while balancing competing demands and schedule sustainability.
  • Leadership Team & Business Operations: Coordinate leadership meetings, business reviews, strategic planning sessions, offsites, and key organizational processes; track action items, commitments, expenses, purchase orders, and compliance requirements.
  • Communication & Stakeholder Support: Serve as a primary point of contact for internal and external stakeholders; develop meeting materials, town hall content, leadership communications, and support employee engagement initiatives.
  • Knowledge Management & Team Administration: Maintain SharePoint sites, organizational documentation, distribution lists, org charts, onboarding materials, and other critical business information with accuracy and confidentiality.
  • Process Improvement & Project Coordination: Lead or support administrative and operational improvement initiatives, including reporting automation, KPI dashboards, budget and headcount tracking, workflow optimization, and special projects.
  • Administrative Community & Cross-Functional Collaboration: Partner across Global Operations, participate in the administrative assistant community, support leadership events and workshops, share best practices, and foster strong cross-functional relationships.

Knowledge, Skills, and Abilities:

  • Excellent judgment, discretion, integrity, and ability to handle highly confidential information in support of executive-level leadership.
  • Strong verbal and written communication skills, with the ability to prepare executive correspondence, reports, meeting materials, and communications for diverse global audiences.
  • Strong business acumen and ability to understand organizational priorities, anticipate needs, connect activities across stakeholders, and recognize when issues require executive attention.
  • Strong computer and technical skills, with experience using Microsoft 365 business applications including Word, Excel, PowerPoint, Outlook, Teams, SharePoint, and Copilot or similar tools.
  • Demonstrated ability to apply digital technologies, automation, AI, and collaboration tools to improve efficiency, effectiveness, documentation, reporting, and global ways of working.
  • Ability to operate independently while working effectively as part of a global, cross-functional team.
  • Proven time-management and organizational skills with the ability to coordinate a highly dynamic executive agenda.
  • Excellent interpersonal skills, positive demeanor, confident style, and can-do attitude.
  • Ability to develop trusted relationships and professionally engage with senior executives and demanding or challenging stakeholders.
  • Strong judgment and decision-making skills, with the ability to distinguish between issues that can be resolved independently and those requiring executive involvement.
  • Operates with a high degree of independent action and initiative; analyzes new, unusual, or complex assignments and determines appropriate methods and approaches to complete them.
  • Ability to prioritize, take initiative, and develop creative, non-standard solutions to complex and diverse administrative, operational, and stakeholder needs.
  • Ability to manage multiple priorities and remain composed and effective in a fast-moving and sometimes high-pressure environment.
  • Significant attention to detail, follow-through, ownership mindset, and ability to manage competing priorities with minimal instruction and broad guidelines.
  • Comprehensive understanding of assigned work, company policies, and organizational practices, with the ability to recommend and implement improvements to processes, procedures, and ways of working.
  • Ability to act as an informal leader within the administrative community by coordinating across teams, sharing best practices, supporting adoption of improved ways of working, and helping resolve escalations.

Qualifications

  • Associate degree and/or higher education, specialized training, certification, or equivalent combination of education and experience required.
  • 5+ years of relevant experience required; 3+ years of experience providing administrative support to senior executive leadership strongly preferred.
  • Experience supporting a global organization and coordinating across multiple geographies and time zones strongly preferred.
  • Experience supporting leaders in Supply Chain, Operations, Manufacturing, Procurement, or another complex global function is a plus, but not required.
  • Advanced proficiency in Microsoft tools, including Outlook, PowerPoint, Excel, Teams, SharePoint, and Copilot or similar AI-enabled productivity tools.
