Position Overview

The Supply Chain & Deployment Coordinator makes sure every confirmed deployment has the right materials, in the right place, at the right time. The role sits in the Deployment team, owns purchasing end to end, and runs day-to-day warehouse stock control.

You plan from signed quotations and real project schedules, not speculative forecasts. Success means no missing parts on install day, no dead stock on the shelf, and no rushed premium-cost orders.

This is a hands-on role. You'll know what's on the shelf, where it is, what condition it's in, and which project it belongs to. You'll also weigh operational readiness against cash flow and working capital.

You'll work daily with Sales, Deployment, Finance and vendors across several markets. Airtable is our system of record for inventory, purchasing and projects.

Key Responsibilities

A. Inventory & Purchase Planning

• Review the sales and deployment pipeline to anticipate material needs early.
• Turn signed quotations, confirmed orders and install schedules into clear inventory, kitting and purchasing plans.
• Time purchases to actual project dates, so stock arrives when needed and not months ahead.
• Flag the cash flow impact of buying early, buying late, or holding excess stock.
• Track actual material use against plan, and raise gaps before they affect a project.

B. Warehouse Operations & Inventory Control

• Run daily stock control: receiving, inspection, putaway, storage, picking, packing and dispatch.
• Keep inventory records accurate across the warehouse, storage units and in-transit stock.
• Maintain a clear location and labelling system, so any item can be found fast and traced to its project or client.
• Plan regular cycle counts and full stock takes, investigate discrepancies, and fix the root cause.
• Prepare complete, checked kits before each deployment so field teams have everything on day one.
• Handle returns, damaged goods, and reusable or surplus stock coming back from sites.
• Set reorder points, minimum levels and buffer stock where they make sense.
• Monitor stock ageing and slow-moving items, and recommend practical ways to reduce dead stock and holding costs.
• Protect stock condition through FIFO, safe handling and proper storage of sensitive hardware.

C. Purchasing & Vendor Management

• Manage the full purchasing cycle within the company's approval workflow: quotation, PO, delivery and receipt.
• Source and compare vendor quotations on price, quality and lead time.
• Build strong vendor relationships across multiple markets, and negotiate terms where appropriate.
• Follow up on order status, delays and discrepancies, and escalate anything that threatens a deployment date.
• Keep purchasing records (POs, quotations, invoices, delivery notes) complete and current in Airtable.

D. Logistics Coordination

• Track inbound and outbound shipments so materials reach the right location on time.
• Coordinate deliveries between vendors, the warehouse and project sites.
• Spot logistics bottlenecks early and help resolve them before they delay a rollout.

E. Data, Reporting & Process Improvement

• Keep inventory, warehouse, purchasing and deployment data clean and current in Airtable.
• Build and maintain reports and dashboards covering:
• stock levels, turnover and ageing
• PO status and vendor lead times
• deployment pipeline and material availability
• Use the data to improve purchasing timing, warehouse efficiency and stock accuracy, and turn findings into clear recommendations.
• Document and standardise warehouse and purchasing workflows and SOPs.

F. Cross-Functional Alignment

• Sales: align on order timing, customer commitments and deployment expectations.
• Finance: support cash flow planning, payment terms and cost tracking for purchasing and inventory.
• ConnectIQ team: help build data and process solutions on Giant Pumpkin's internal development platform.
• Deployment: give early warning on stock status, purchasing timelines and risks to install dates.

Working conditions

• Split between the Bangkok office and the warehouse or storage units.
• Occasional hands-on warehouse work, including handling and moving boxed hardware.

Requirements

Must have

• Bachelor's degree in supply chain, logistics, business or a related field, or equivalent experience.
• 2–4 years in purchasing, warehouse, inventory control or supply chain coordination.
• Hands-on experience with stock control: receiving, cycle counts, stock takes and kitting.
• Experience raising POs, comparing quotations and following up with vendors.
• Strong Excel or Google Sheets skills, and comfort working with structured data.
• Good written and spoken English and Thai.
• Organised, detail-focused, and calm when schedules change.

Nice to have

• Experience with Airtable or a similar database or inventory system.
• Background in electronics, AV, retail fixtures or project-based supply chains.
• Experience buying from overseas vendors, including import and shipping basics.
• Experience building simple dashboards or reports.
• Valid Thai driving licence.
