About the role
As Circadia's Customer Onboarding Specialist, you'll be part of the GTM team, supporting customer onboarding and helping guide new skilled nursing facilities and care organizations from contract signature to go-live on our contactless remote monitoring platform. You'll work closely with internal teams, including Sales and Customer Success, and with external stakeholders such as facility leadership and IT contacts to prepare for each customer's activation and go-live. This role manages multiple implementations at once and helps refine our onboarding workflows as the business scales. While the role currently focuses on onboarding, responsibilities may shift to support other areas of the business as needs evolve.
This is a full-time, in-office role at our El Segundo, CA headquarters.
What You'll Do
Manage multiple customer onboardings at once, from contract through go-live
Coordinate across internal teams and customers to keep each implementation on track
Support Sales and Customer Success in addressing customer questions, including technical inquiries, during onboarding
Keep customer records accurate and ensure clean handoffs to Customer Success
Adapt to evolving processes and help improve how we onboard customers
How Success is Measured
Customers reach go-live on their target installation dates
Reduction in average time from contract signature to go-live
Readiness requirements complete before installation, with no day-of delays caused by missed setup
Customer records accurate and current across all tracking systems
Clean handoffs to Customer Success, with no missing account information
Process gaps identified and flagged before they affect timelines
Must-have Qualifications
2+ years in operations, customer onboarding, implementation, or project coordination, preferably in healthcare or healthcare technology
Extremely organized, with exceptional attention to detail
Proven ability to manage multiple projects at once, each with its own timeline and stakeholders
Experience coordinating across multiple teams and stakeholders to deliver on shared timelines
Strong written and verbal communication, with the ability to explain technical concepts simply
Working knowledge of technical concepts such as WiFi networks, VLANs, IP addressing, and EHR integrations
Ability to quickly learn new systems, tools, and processes
Experience with CRM and project management tools (e.g., HubSpot, monday.com)
Comfortable operating in a fast-changing startup environment with evolving tools and process

Project management experience
Experience with PointClickCare or other EHR systems
Experience in or with skilled nursing facilities (SNFs), post-acute, or long-term care settings
Experience onboarding customers for SaaS, hardware, or connected-device products
