We have an exciting opportunity for a full-time Coordinator, Budgets and Projects to join our Design, Development & Construction team in Langley, BC.
Reporting to the Manager, Budgets & Projects, the Coordinator, Budgets and Projects acts as the central point for the DD&C team, providing support across budget preparation, financial analysis, project costing, project coordination, contract administration, budget creation and monitoring, financial documentation, and workflows for new builds, remodels, and capital projects across the Pattison Food Group. This role ensures the accuracy and completeness of costing requests, contracts, budgets, project financial reporting, and documentation while maintaining compliance with PFG capital and accounting policies. Additionally, the Coordinator supports project management through Procore, PeopleSoft Financials, and other tools, enabling efficient workflow, approvals, and service delivery to internal and external stakeholders.
You will be responsible for:
- Receiving, reviewing, and processing project costing requests, ensuring completeness, accuracy, and appropriate project coding in line with approved budgets.
- Assembling tender and contract documentation, including purchase orders, progress draws, change orders, statutory declarations, and WCB requirements, in accordance with PFG capital policies.
- Reviewing and processing progress draws, invoices, journal entries, lien holdbacks, and A/R billings in accordance with contract, accounting, and legal requirements.
- Maintaining accurate project financial records and documentation, including tender files, statutory declarations, WCB documentation, insurance certificates, and O&M and warranty manuals.
- Supporting project budget development, budget changes, change requests, variance analysis, cash flow and A/R forecasting, and cost-saving initiatives.
- Preparing O&M and warranty manuals for completed projects and ensuring insurance certificates remain current.
- Providing administrative and financial support to Project Managers and the DD&C team, including participating in project status meetings and following up on approvals and delays.
- Providing Procore support, including managing project documentation, tracking progress, and ensuring accurate and timely system updates.
- Managing PeopleSoft Financials workflows related to costing, approvals, contracts, and CAPEX submissions, including troubleshooting workflow issues and maintaining approval paths.
- Maintaining PeopleSoft Financials documentation and ensuring accurate project coding.
- Training and supporting internal users on costing requests, workflow processes, and CAPEX approvals.
- Working with internal and external stakeholders, including contractors, architects, designers, and engineering consultants, to ensure PFG policies and procedures are followed for tenders and contracts.
- Supporting business licence application processes for new stores and on an ad hoc basis.

You have:
- A minimum 3 years of contract administration, accounting, or budgeting experience.
- Financial education (2-3 years) or equivalent practical experience preferred.
- Working knowledge of PeopleSoft Financials and Microsoft Office applications, with strong Excel skills.
- Experience with a project management system such as Procore is considered an asset.
- Working knowledge of construction processes, including tenders, contracts, change orders, lien holdbacks, tax, and workers’ compensation.

Compensation Details:
$60,972.00 - $76,215.00The compensation offered for this position will take into consideration location, education, skills, experience and other factors.
