Action Property Management is seeking a Compliance Coordinator to join team at the Travis Ranch community in Forney, TX.

Summary:

The Compliance Coordinator performs day-to-day compliance activities for the community, including processing and tracking violations, maintaining accurate documentation, following compliance matters through resolution, and supporting consistent enforcement of the association’s governing documents. The role also oversees self-help activities and related vendor coordination, assists with leasing compliance, and provides timely follow-up and reporting to management. Communication with homeowners is an important part of the role, including clarifying violations and explaining corrective actions. The ideal candidate is observant, detail-oriented, organized, and comfortable engaging with residents in a courteous and professional manner.

Key Responsibilities:

• Oversee the self-help compliance process by documenting, printing and confirming that notices are posted on homeowner’s doors.
• Manage self-help vendor scheduling and follow-up.
• Save all self-help ‘cured’ emails/photos to the homeowner unit folder.
• Submit compliance violation fines weekly to homeowner ledgers.
• With GM oversight, track unauthorized leasing activity and issue violations on a recurring 10-day cycle, including detailed research to verify when homes appear to be leased in violation of the association’s governing documents.
• Issue courtesy notices, violation letters, and follow-up communications in accordance with association policy and timelines.
• Track and manage open violations through resolution, maintaining accurate and organized records.
• Track and manage towing records.
• Communicate with residents in a professional and respectful manner when addressing compliance matters.
• Provide backup support for regular community patrols to identify and document potential violations of the association’s CC&Rs, Rules, and Regulations.
• When providing backup patrol coverage, capture and upload clear, detailed photos and notes of potential violations using the association’s compliance software.
• Prepare compliance reports for management and board meetings as requested.
• Collaborate with the General Manager, Assistant Manager, and Administrative staff to ensure consistent enforcement and timely follow-up.
• Attend board or committee meetings as needed to provide compliance updates or clarification.
• Assist with other administrative duties or special projects as assigned.

Position and Work Environment:

• This position requires onsite presence at the assigned location.
• The work environment emphasizes a collaborative atmosphere with open communication and mutual respect among team members.
• Overtime requires approval.

Required Skills / Abilities:

• Previous experience in property management, community association management or code enforcement preferred.
• Strong attention to detail and ability to remain objective when assessing potential violations.
• Excellent written and verbal communication skills.
• Proficient with Microsoft Office applications and mobile inspection/reporting tools.
• Must possess a valid state driver’s license, insurance, and a reliable personal vehicle to provide back-up coverage for the Compliance Specialist.
• Ability to work independently and maintain confidentiality.
• May require flexibility for occasional evening or weekend inspections.

Education / Certifications:

• High School diploma or equivalent.

Physical Requirements:

• Ability to drive, walk, and perform inspections outdoors in varying weather conditions.
• Capable of lifting up to 25 pounds as needed.
