Job Summary

Join a growing specialty practice where your organization, communication skills, and commitment to excellent service help create a welcoming experience for patients from the moment they arrive. Wentworth Health Partners Cardiovascular Group is seeking a full-time Clinic/Practice Assistant to support our Vascular Surgery team and help keep daily practice operations running smoothly.
Schedule and Location
This is a full-time, 40-hour position, Monday through Friday between 8:30 a.m. and 5:00 p.m. The primary location is 10 Members Way in Dover, NH, with 2 to 3 days per week of cross-coverage at our Portsmouth, NH practice located at 67 Corporate Drive.
About Our Vascular Surgery Practice
Wentworth Health Partners Cardiovascular Group provides expert vascular care from fellowship-trained, board-certified specialists who work closely with experienced physicians, nurses, technologists, and clinicians at Wentworth-Douglass Hospital. Our team treats all aspects of vascular health using both minimally invasive and traditional surgical options, supported by advanced imaging and modern endovascular technology.
Why This Role Matters
Clinic/Practice Assistants are essential to the patient experience and the daily flow of our community-based physician practices. In this highly visible role, you will serve as a key point of contact for patients, families, providers, and care team members—helping ensure patients feel welcomed, informed, and supported throughout their visit.
What You’ll Do
• Greet and assist patients, creating a warm and professional first impression.
• Support patient check-in and check-out, appointment scheduling, and appointment record maintenance.
• Answer incoming calls, assist with routine inquiries, take accurate messages, and route calls appropriately.
• Process referrals, diagnostic orders, lab orders, billing forms, and documentation for the medical record.
• Monitor patient flow and waiting room activity to support an efficient and positive practice experience.
• Request patient medical records and laboratory test results as needed.
• Open and distribute mail and faxes, scan documents, file materials, and complete general clerical tasks.
• Assist with messages related to prior authorizations, provider questions, prescription refills, and test results.
• Support practice leadership, clinicians, and peers with day-to-day operational needs.
• Serve as a resource for scheduling, registration, and billing systems, including assisting or training others when appropriate.


 

Qualifications

What We’re Looking For

  • High school diploma or equivalent required.
  • Two to three years of office experience required.
  • Certified Medical Administrative Assistant preferred.
  • Strong customer service skills and a professional, helpful communication style.
  • Ability to multitask, prioritize, and stay organized in a fast-paced, high-volume outpatient setting.
  • Comfort using office technology, phone systems, and standard office workflows including filing, copying, scanning, printing, and faxing.
  • Strong written and verbal communication skills, including the ability to take complete and accurate messages.
  • Medical terminology knowledge and referral coordination experience strongly preferred.
