Job Summary:
Under general supervision and according to established policies and procedures, provides administrative assistance, receptionist, billing and lab support for the Pediatric Translational Research Unit. Performs tasks relating to specimen procurement, processing, and distribution. Performs phlebotomy and capillary puncture procedures on neonatal, infant, toddler, pre-school, school age, adolescent and selected adult patients for the collection of specimens. If CNA certified, perform as a partner within the research team under the direction and supervision of a registered nurse.

Essential Functions:

  • Administrative Duties: • Leads TRU patient scheduling and registration in EPIC. • Completes study invoicing. • Receives, prioritizes and directs incoming departmental communications, such as scheduling emails, phone calls, mail, and visitors. Answers phone calls to department’s main lines and respond to general inquiries. Records and relays messages to appropriate personnel, appraising individuals of calls requiring immediate attention. • Maintains required statistics, spreadsheets, databases, and graphs. • Maintains front desk, supply room and waiting room in a safe and orderly manner. • Contacts research staff, (physicians, study coordinators, etc.) directly or through hospital paging systems as directed by authorized personnel. • Initiates requests for services from ancillary departments such as EVS, facilities, distribution, etc. • Performs related clerical duties such as filing, photocopying, and faxing. • Maintains supplies, office equipment, fax, printers, and copy machines.

  • Laboratory • Performs phlebotomy and capillary puncture procedures on neonatal, infant, toddler, pre-school, school age, adolescent, and adult patients for the collection of specimens. Understands and satisfies their needs in regards to their growth and development process. Notifies appropriate staff accordingly when proper samples are not obtained. • Processes specimens and documents results according to stated procedures both clinical and research • Is aware of, and applies, overall patient and employee safety policies and procedures as required by CDC, OSHA, and Joint Commission, and reports suspected concerns and/or incidents via incident reports or other appropriate method that assures timely action, to the Lead, Manager or Director.

  • Care Partner (if employee meets minimum requirement below) • Performs delegated patient care activities under the direction of a registered nurse. Assists RN and/or physician with patient treatments/procedures as directed. (Patient care activities include tasks related to: hygiene, physical cares, intake/nutrition, elimination, ambulation/exercise, routine vital signs/monitoring, respiratory, comfort measures, basic safety procedures.) • Measures, documents and appropriately reports observations made related to patients and families. Any deviations or changes are verbally reported to the RN and documented in the patient’s medical record (deviations/changes are to be co-signed by the RN).


Education:

  • High School graduate or Certificate of General Educational Development (GED) or High School Equivalency Diploma (HSED) Basic reading writing and arithmetic skills achieved through completion of high school or equivalent. required


Experience:

  • 1+ years laboratory experience preferred

  • 1+ years of HUC experience preferred


Knowledge, Skills and Abilities:

  • Currently registered with the State of Wisconsin Registry for Nursing Assistants/Home Health Aides to be eligible for employment in the basic provider settings plus federally certified home health agencies and hospices. Certified Nursing Assistant certifications are not required to be renewed after hire.

  • Knowledge of medical terminology.

  • Basic knowledge of phlebotomy, reagents, equipment and equipment maintenance preferred. Ability to perform certain identified routine procedures at an acceptable level.

  • Knowledge of computer and keyboard, Microsoft Window, Excel and basic word processing skills.

  • Interpersonal skills necessary to gather and share information with physicians, patients, visitors, families, and team members in a courteous and confidential manner.

  • Excellent organizational, analytical, and prioritizing skills necessary to work in a fast-paced environment with multiple tasks done simultaneously.

  • Ability to concentrate and pay close attention to detail.

  • Ability to stand and walk for up to 70% of the work time.


Patient Care Responsibility:

  • Provides care appropriate to patient population and as described in applicable policies and procedures.
