POSITION OVERVIEW:
The Client Service Estimator (CSE) is the technical field-and-office member of G.E. Mechanical’s integrated sales team, responsible for turning client needs, technician findings, site conditions, and equipment information into accurate, timely quotations and actionable commercial solutions. The role combines technical fluency, estimating, client communication, field observation, asset documentation, vendor coordination, and disciplined follow-through. The CSE conducts site visits and asset inventories, reviews service findings, develops repair/service quotations, clarifies scope and options with clients, and supports progression from identified need through quote, approval, and execution. Working as one team, the CSE provides technical assessment, scope, site/asset intelligence, and quotation execution; the Client Solutions Lead (CSL) leads field relationships, discovery, commercial strategy, and closing; and the Client Partnership Lead (CPL) drives inside development, account orchestration, outreach, follow-through, and CRM discipline.
RESPONSIBILITIES:
Technical Sales, Site Assessment & Client Engagement:
• Serve as the technical-commercial resource within the sales team, partnering with the CSL and CPL from discovery and field assessment through quotation, clarification, approval, and handoff to operations.
• Conduct client site visits, equipment reviews, field discovery, and asset inventories; document equipment type, manufacturer, model, serial number, location, condition, service context, constraints, and other information needed for future service, maintenance, repair, or replacement.
• Review technician findings, service reports, equipment data, parts requirements, and site conditions; identify missing information and validate scope before estimating.
• Translate technical findings into clear client-ready scopes and quotations, discuss assumptions, exclusions, lead times, recommendations, and next steps within appropriate authority, and support quote follow-up/clarification.
• Identify additional repair, maintenance, replacement, reliability, controls, or related needs discovered through site visits, asset inventories, quote development, and client conversations, and route them into the commercial process.
• Represent G.E. Mechanical with professionalism, urgency, practical judgment, and a solutions-oriented approach in client and field interactions.
Estimating, Procurement & Service Coordination:
• Prepare and distribute accurate, timely estimates, proposals, and parts requests using technician recommendations, client needs, site observations, and available technical documentation.
• Coordinate with vendors and supply-chain partners for equipment, parts, materials, pricing, availability, lead times, warranties, and supporting product information; track pending responses and deliveries.
• Maintain visibility into open estimates, approvals, parts orders, vendor deliveries, scheduling dependencies, and other items that can delay service execution; follow through until the next action is clearly owned.
• Support Technical Service Leads and service management with operational coordination related to active service work, repair recommendations, scheduling readiness, and ongoing service needs.
• Communicate material constraints, vendor lead times, outstanding approvals, scope conflicts, or incomplete information and escalate unusual or extended issues requiring management or technical review.
• Collaborate with accounting and operations to support accurate invoicing, job-cost tracking, purchase information, and complete service documentation.
Systems, Documentation & Teamwork:
• Maintain timely and accurate CRM, service, quotation, opportunity, client, site, asset, labor, parts, warranty, and activity information in Microsoft Dynamics and other company systems.
• Maintain organized records of estimates, proposals, vendor pricing, purchase requests, asset inventories, warranties, equipment information, parts usage, and service history to support future work and account development.
• Coordinate closely with the CSL, CPL, technicians, Technical Service Leads, operations, vendors, scheduling, accounting, and other internal teams so technical and commercial work does not become delayed, lost, or unclear.
• Identify recurring process, documentation, vendor, quoting, or workflow issues that can improve responsiveness, accuracy, service efficiency, and client experience; perform other duties as needed by the commercial and service organizations.
MINIMUM QUALIFICATIONS:
Education/Experience:
High School diploma or GED and five (5) years of experience in mechanical service, construction, service estimating, technical sales support, service coordination, procurement, or a related technical-service environment. Requires the ability to read service reports, equipment information, specifications, and vendor quotations; communicate directly with clients in office and field settings; conduct site visits and asset inventories; manage competing priorities; and maintain accurate, responsive records. Must demonstrate strong organization, attention to detail, follow-through, practical problem-solving, and coordination across clients, technicians, vendors, sales, operations, and internal teams.
Preferred Qualifications:
• Strong working knowledge of commercial HVAC-R equipment, service terminology, common components, and parts identification.
• Experience with commercial site surveys, equipment inspections, asset inventories, technical discovery, scope development, and client-facing quotation support.
• Experience preparing service estimates, repair quotations, proposals, parts requests, and related technical-commercial documentation.
• Knowledge of procurement, vendor coordination, equipment/parts sourcing, warranties, service-support processes, and service histories.
• Experience with ERP/service-management systems, Microsoft Dynamics, and Microsoft Office/Teams.
• Excellent client-facing communication, data accuracy, urgency, and teamwork with CSLs, CPLs, technicians, Technical Service Leads, managers, vendors, accounting, and operations.
