Job Summary

Under general supervision, responsible for the ERS/Oncolog Tumor Registry System. Compiles and, maintains statistical diagnostic and treatment information on all cancer patients. Performs all of the functions of Denver Health's Cancer Registry, including case finding, case coding and abstracting, follow-up, data entry, State and all other required data reporting, and Cancer Conference (Tumor Boards). Disseminates information in accordance with professional ethics and ensures confidential information integrity. Sends state reports once a month. Attends and prepares agenda for Tumor Conference once per week. Attend Cancer Committee once per month. Oversees the daily operation of the Cancer Registry and ensures compliance with all requirements to achieve and maintain an accredited cancer program as set forth by the American College of Surgeons Commission on Cancer. Supports preparation of annual reports, patient care evaluation studies, and calls for data as required. Creates special reports as requested.


Essential Functions:

• Maintain Tumor Registry.
  • Case finding
  ◦ Reviews provisional pathology log and document positive cases.
  ◦ Reviews death certificates and diagnostic indices.
  ◦ Maintains case file including information retrieved through case finding reviews.
  
  • Abstracting
  ◦ Abstracts and codes required Information in the ERS/Oncolog system. Standard is 10 per week.
  
  • Follow-up
  ◦ Accesses imaging, SSI death index, Vital Records, sending out monthly patient and physician letters; standard is 4 per hour; follow up must be done the first week of each month.
  ◦ Submits monthly transfer of total cases based on date of first contact to State Registry to maintain compliance with State timeliness standard and current completeness standard of analytic cases.
  ◦ Submits weekly production log each Monday containing production stats for the previous week.
  
• Coordinate Tumor Conference and Cancer Committee activities.
  • Agenda Preparation
  ▪ Gathers positive cases.
  ▪ Retrieves information from pathology provisional list and cytology slips every Monday before the conference.
  ▪ Documents patient social information (age, site, location, diagnosis), add any additional comments, name of presenter and case information.
  ▪ Prepares agenda, make copies and distribute appropriately.
  
• Reports.
  • Monthly clears all errors from abstracts completed in ERS/Oncolog.
  • Submits abstracts to state and produce reports for statistical reporting.
  • Through Denver Health’s data warehouse assists with Research data needed by any provider for grants or certification purposes
  
• Other
  • Provides appropriate medical records in a timely manner.
  • Acknowledges all requests and assure appropriate response in a timely manner.
  • Identifies the specifics of the requests before retrieving the information.
  • Provides the requestor with the information already available in the Tumor Registry before retrieving the information (if applicable.)

Education:

• High School Diploma or GED required.

Work Experience:

• Typically two years of experience in a Cancer Registry field, specifically with data collection required.
• One year of medical coding experience preferred.
  

Licenses/Certifications:

• CTR or ODS-c certification through NCRA required.

Knowledge, Skills and Abilities:

• Knowledge of Tumor Registry laws, regulations and procedures.
• Participate in training workshops, department and section meetings.
• Maintain current CE hours in order to maintain CTR or ODS-c.
• Possess good computer keyboarding skills.
• Knowledge of Microsoft Outlook and how to use it for email and calendar functions.
• Possess good oral and written communication skills.
• Possess strong organizational skills and the ability to work independently and meet deadlines.
• Capable of reading and interpreting coding guidelines and making subsequent coding decisions.
• Knowledgeable in researching coding related topics and issues.
• Ability to handle a fast paced environment.
