We are looking for a dynamic Business Operations Specialist to join our team! This position provides business operations and administrative support on a team of analysts and subject matter experts supporting the Office of the Deputy Assistant Secretary of War for Strategic Readiness (DASW(SR)), Warfighter Development Division, Warfighter Education Section, in its work on the Senior Service College (SSC) Task Force's review of the SSC Fellowship Program and broader SSC portfolio, in support of the Office of the Under Secretary of War for Personnel and Readiness (OUSW(P&R)). The Business Operations Specialist owns the operational backbone of the team — workflow, reporting cadence, resourcing, and stakeholder coordination — so that analysts can stay focused on the substance of the SSC review.

This position will be onsite daily at the Pentagon, located in Arlington, VA.

Responsibilities

The responsibilities include, but are not limited to:

  • Serving as the primary business operations and administrative specialist on the team, overseeing daily operational workflow, resourcing, and schedule management across concurrent SSC Task Force priorities
  • Coordinating and managing scheduling, logistics, and read-ahead materials for team meetings, senior leadership briefings, and engagements, including the Warfighter Education Coordination Council (WECC) and Military Education Coordination Council (MECC)
  • Tracking taskers, suspenses, deliverables, and action items across the team; maintaining operational status trackers and proactively flagging at-risk timelines or resource gaps to leadership
  • Overseeing document quality control and formatting standards for briefing materials, decision papers, reports, and presentations prepared for DASW(SR) and OUSW(P&R) leadership, ensuring accuracy, consistency, and a polished, professional standard
  • Managing business operations inputs for recurring reporting cycles — including the NDAA 557 Report, Government Accountability Office (GAO) report responses, and other Congressional and stakeholder reporting products — by coordinating data calls, timelines, and submission logistics
  • Owning records, document control, and knowledge management for SSC Task Force products, including SharePoint site administration, information taxonomy, and version control
  • Coordinating travel arrangements, calendars, conference room reservations, and visitor and facility access logistics, including badging support for cleared personnel and visiting stakeholders
  • Facilitating meeting operations, including preparing agendas, capturing minutes and notes, and driving action-item tracking and follow-up to closure
  • Supporting team onboarding and in-processing operations for incoming staff, including coordination of clearance verification, equipment, and system/account provisioning
  • Managing correspondence and stakeholder communications on behalf of the team, including drafting, formatting, and routing memoranda, taskers, and other official communications
  • Supporting data organization and operational file management for analytic products, including SSC Fellowship Request for Program Information (RPI) data, site visit findings, and supporting documentation used in Government assessments
  • Providing broader business operations support — budget and resource tracking coordination, timekeeping and administrative reporting, procurement/supply coordination — and recommending process improvements to increase team efficiency

Requirements

  • Active Secret DoW Clearance
  • Bachelor's Degree in Business Administreation, Operations Management, Public Policy/Administration, or a related field (or equivalent professional experience)
  • Minimum of 2 years of professional experience in business operations, program operations, or administrative/executive support, to include experience supporting government or military leadership offices
  • Demonstrated ability to independently manage operational functions on high-visibility, mission-critical program efforts, exercising sound judgment with minimal direct supervision
  • Proven ability to support and coordinate operations for a team of staff, including tracking multiple concurrent priorities and deadlines
  • Strong organizational, analytical, written, and verbal communication skills, with meticulous attention to detail
  • Proficiency with MS Office (Word, Excel, PowerPoint, Outlook), SharePoint, and standard operations/collaboration tools
  • Ability to handle sensitive and controlled information with discretion
  • Must be a United States citizen to obtain and maintain a DoW security clearance

Desired Skills

  • Experience supporting OUSW(P&R), DASW(SR), the Joint Staff, or other senior DoW leadership offices
  • Experience in business or program operations within a task force, working group, or similarly fast-paced, deadline-driven analytic environment
  • Familiarity with DoD correspondence and staffing procedures, records management practices, and SharePoint site administration
  • Experience supporting recurring Congressional or GAO reporting cycles
  • Experience with budget/resource tracking, contract administration support, or process-improvement initiatives
  • Experience supporting the military, Veterans Administration, or prior military experience

Benefits

CATHEXIS offers competitive compensation packages to all eligible employees. Our goal is to provide a compensation package that reflects the value you bring to our team, is competitive with national average market rates, and promotes your financial security and personal well-being. The annual salary range for this role is $105,000 - $125,000. Please note that the salary information provided is a general guideline. CATHEXIS considers various factors in its final offer, including location, qualifications, experience, and skills.
