Job Description Summary

The Admissions Building Coordinator would report to the Senior Associate Director, Events. The role would support both the 3535 facility as well as the Admissions Visitor Center. This role would require an on campus presence of 4 days per week. The responsibilities would include:
• Primary contact for all facilities questions and needs
• Primary contact between FRES and 3535 Building management for all facilities related issues and secondary contact for the Admissions Visitor Center (in conjunction with the Director, Audience Engagement.
• Responsible for security and safety protocols. Primary liaison with Public Safety and building security teams.
• Responsible for maintaining all AV systems. Primary contact with AV vendors.
• Responsible for coordinating any large furniture movement or procurement within Admissions Facilities
• Maintains stock of office supplies
• Maintains stock of kitchen supplies
• Helps with distribution of larger shipments and organization of storage spaces
• Supports events from a physical space perspective when running in the Admissions Visit Center
• Support event related movement of asset and materials
• May process documents coming in to Applicant Care during high-volume periods
• May assist with onboarding activities

The Building Coordinator is responsible for working as part of a team to achieve the institution's goals in enrolling a class of highly accomplished students from a wide range of backgrounds and experiences, through fostering intentional access and collective care while engaging with members of the admissions team and campus partners.

Job Responsibilities

  • Facilities management  - primary contact for building related requests.
  • Responsible for security and safety protocols.  Liaison with Public Safety and building security teams. Support space and building focused Mission Continuity activities.
  • Coordination of equipment, furniture and supply movement within and among facilities.
  • Coordination of AV service requests with AV vendors.
  • Tracking and maintaining office supplies (including kitchen supplies)
  • Assist in processing documents and materials associated with applications.
  • Assist with onboarding and offboarding activities

Qualifications

  • High School Grad/GE Degree and 2 to 3 years of experience or equivalent combination of education and experience is required.
