ROLE OVERVIEW:
We are seeking a dedicated, highly reliable, and detail-oriented Bookkeeper & Admin Support Specialist to manage day-to-day financial operations across three related entities. This role is designed for a self-motivated professional who takes true ownership of their work. Pure bookkeeping responsibilities are estimated to cover roughly three days per week or more. As accuracy, trust, and operational familiarity build, the role will naturally expand into executive assistance, customer communications, and general administrative support, scaling into a comprehensive, full-time position.
RESPONSIBILITIES:
Core Bookkeeping
- Perform regular bank reconciliations across all three business entities.
- Manage invoicing, accounts receivable, accounts payable, and statement reconciliations.
- Process payroll accurately, efficiently, and on time.
- Prepare and lodge Business Activity Statements (BAS) in compliance with Australian tax standards.
Manufacturing & Inventory Operations
- Manage inventory builds, cost of goods tracking, and inventory-related invoicing specifically for the manufacturing and wholesale operations at the company.
Administrative & Executive Assistant Growth
- Manage incoming emails and handle direct customer communications as the scope expands.
- Provide general back-end administrative support across all three business entities.
- Partner with the business owner to dynamically shape and expand administrative processes as trust and operational rhythm develop.
Requirements
- Software Proficiency: Hands-on, demonstrated expertise in both Xero and MYOB (live capability demonstration required during the initial interview phase).
- Bookkeeping Mastery: Extensive experience in bank reconciliations, invoicing, statement reconciliations, payroll processing, and BAS preparation/lodgment.
- Autonomy & Ownership: Ability to independently manage the books with minimal oversight, proactively flagging discrepancies and resolving issues.
- Dependability: A proven track record of exceptional accuracy, reliable attendance, and strong attention to detail.
Preferred
- Prior experience with manufacturing/inventory bookkeeping (e.g., stock builds, assembly/COGS tracking, wholesale billing).
- Demonstrated experience or strong enthusiasm for expanding into EA/VA roles, including inbox management and client correspondence.
- Proven track record of concurrently managing accounts for multiple related business entities.
