Primary Function/General Purpose of Position  

Serves as the point of contact for referring physicians, patients, and caregivers to provide resources and assistance with accessing clinical and supportive care services offered. Facilitates patient appointments, including those made with labs, diagnostic areas and specialty physicians. Handles billing and follow-up on all inpatient/outpatient specialty claims involving insurance agencies. Must be able to provide excellent customer service and support receiving, researching and resolving all customers’ inquiries related to their care. Assists patients in understanding their treatment options and the resources available. Serves as an essential link between patients and all other care providers. Facilitates appointments for consults and support services within established service standards, including dietitians, physicians, physical therapists etc. Follows patients throughout the care continuum, including inpatient admissions and collaborates with inpatient care management resources. 

Essential Job Functions  

• ​Track patients from the time they go to an intake session through the course of treatment. This process will include:  

• Entering and following patients in a patient tracker software system.   
• Scheduling patient appointments and consults. 
•  Coordinating referrals.  
• Scheduling surgery  
• Following up with patients after appointments/surgery  

• Authorize and approve patients for treatment and surgery. This will include spending time educating patient and their employers, working with the insurance companies and sending/organizing supporting documents.  
• Assists other members of the office team as needed. Familiar with the responsibilities of clerical staff and can assist when the work demands.

• High school diploma or equivalent (required) 
• College degree (preferred) 

Work Experience 

• At least three years’ experience in an administrative role with client facing experience, or medical office experience (required)  
• Work experience involving CPT coding and ICD-10 coding (preferred)  
• Experience with prior authorization and the review process of insurance company (preferred)

Working Conditions/Physical Requirements  

Frequent standing, walking, sitting. Intermittent bending, stooping, stretching. May require lifting or moving items up to 50 lbs. Intermittent use of finger/hand dexterity. Frequent reaching with hands/arms. Corrected hearing and vision to normal range. Possible exposure to blood, body fluids or tissue. Possible exposure to infectious materials, communicable diseases and/or other conditions common to a healthcare environment. Normal medical office environment. Ability to read and comprehend. May be required to take call and/or work weekends/holidays based on the needs of the department.                                                                    

Skills 

Hard/Tech/Clinical Skills: 

• Knowledge of grammar, spelling and punctuation is mandatory.  
• Basic computer skills required, Microsoft office experience preferred.  
• Also, requires use of general office equipment including but not limited to: telephone, calculator, fax machine, printer and copier.  
• Must have knowledge of medical terminology and billing.  
• Must be able to identify and correct coding issues, which affect reimbursement. 

Soft/Interpersonal Skills: 

• Organization skills and the ability to multi-task are mandatory.  
• Must have strong people skills. 
• Ability to maintain the confidentiality of sensitive information.
