Job Overview

The Associate Director of Administration and Operations serves as the senior administrator responsible for the administrative and operational functions of the Office of Undergraduate Admissions. Reporting directly to the Dean of Admissions and serving as a member of the Office’s leadership team, the Associate Director provides executive-level administrative and operational support to the Dean and Senior Associate Directors while overseeing the systems, processes, personnel, and resources that support the work of the Office.

The Associate Director manages and provides oversight for office operations, personnel administration, procurement, facilities coordination, administrative services, records and workflow management, and other operational functions. The position supervises administrative staff, establishes priorities and expectations, develops and implements procedures, coordinates office-wide projects, and identifies opportunities to improve efficiency, consistency, and service. Working with a high degree of independence and professional judgment, the Associate Director anticipates operational needs, resolves administrative challenges, and ensures that day-to-day functions are effectively coordinated across the Office.

The Associate Director also serves as a primary liaison between Undergraduate Admissions and University administrative departments, coordinating matters that require collaboration with Human Resources, Finance, Procurement, Facilities, Information Technology, and other campus partners. The position works closely with admissions leadership and staff to ensure that administrative resources and operational processes are aligned with the demands of the annual admissions cycle and evolving departmental priorities.

Through this work, the Associate Director plays a critical role in maintaining the administrative infrastructure necessary for a complex, high-volume admissions operation. The position ensures that the Dean, leadership, admissions officers, and administrative staff have the operational support, resources, and processes necessary to carry out the Office’s responsibilities effectively and to advance the University’s undergraduate enrollment priorities.

Additional duties include, but are not limited to:

  • Direct the administrative operations and business functions of the Office of Undergraduate Admissions

  • Provide executive-level administrative support to the Dean of Admissions and Senior Associate Directors

  • Manages 2 direct reports and 4 indirect reports

  • Supervise administrative staff and oversee hiring, onboarding, performance management, and professional development

  • Develop, implement, and evaluate administrative policies, procedures, and operational practices

  • Oversee personnel administration, office operations, records management, procurement, facilities coordination, and administrative technology

  • Manage administrative projects and operational initiatives that support departmental priorities

  • Oversee the administrative resources that support recruitment activities, admissions programs, events, and strategic initiatives

  • Serve as the Office's primary liaison with University administrative departments

  • Oversee procurement, contracts, vendor relationships, budget monitoring, and stewardship of administrative resources

  • Evaluate administrative processes and implement improvements that enhance service, efficiency, and compliance.

Work Interactions

The Associate Director reports directly to the Dean of Admissions and serves as a member of the Office's leadership team. The position works closely with the Dean, Senior Associate Directors, admissions officers, operations staff, and administrative personnel to establish administrative priorities and support departmental initiatives.

The Associate Director directly supervises the Administrative Officer/Admissions Support Team Manager and the Assistant Director of Operations, providing leadership, coaching, performance management, and professional development. The position serves as the primary administrative liaison with Human Resources, Finance and Business Services, Procurement, University Information Services, Facilities Management, Payroll, Student Employment, University Events, the Office of the Provost, and other University departments. The Associate Director also works with vendors, alumni volunteers, prospective students, families, counselors, and other partners as needed to support Office operations.

Requirements and Qualifications

Minimum Qualifications:

  • Bachelor's degree or an equivalent combination of education and experience.

  • Seven plus years of progressively responsible administrative or operational management experience

  • Demonstrated experience supervising professional and administrative staff.

  • Experience managing office operations, business processes, and administrative services.

  • Excellent organizational, interpersonal, written, and verbal communication skills.

  • Demonstrated ability to manage multiple priorities and meet competing deadlines.

  • Ability to exercise sound judgment and maintain confidentiality.

  • Proficiency with Microsoft Office and enterprise administrative systems.

Preferred Qualifications:

  • Master’s degree strongly preferred

  • Experience in higher education administration, admissions operations, enrollment management, or related academic environments

  • Experience overseeing administrative operations, personnel coordination, or organizational workflow management

  • Familiarity with HR-related administrative processes, staffing coordination, and operational planning

  • Experience supporting high-volume operational environments with multiple functional areas and stakeholders

  • Familiarity with Slate, Workday, Banner, Google Workspace, Microsoft Office applications, or similar operational systems

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:

$66,783.00 - $126,720.23

Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
