JOB DESCRIPTION
Role Purpose
The Assistant Manager, Corporate & Workplace Services is responsible for ensuring the efficient management of workplace operations, office facilities, procurement activities, corporate governance support, ISO management system coordination, and sustainability reporting. The role serves as a key coordinator between internal stakeholders, service providers, and regulatory bodies to ensure workplace effectiveness, operational excellence, compliance, and continuous improvement.
The incumbent will oversee office administration, facilities management, procurement activities, workplace experience initiatives, ISO certification maintenance, and Environmental, Social & Governance (ESG) reporting requirements while ensuring adherence to corporate policies, audit requirements, and governance standards.
Key Accountabilities
1. Office Administration & Procurement
- Manage the procurement of office supplies, furniture, equipment, and workplace services in accordance with company procurement policies.
- Source, evaluate, and manage vendors and service providers to ensure quality, cost-effectiveness, and timely delivery.
- Monitor office operating expenses and support annual budgeting and cost management initiatives.
- Maintain inventory records and asset registers for workplace-related equipment and supplies.
- Support contract administration, vendor performance reviews, and service renewals.
2. Workplace & Facilities Management
- Oversee the day-to-day management of office facilities to ensure a safe, functional, and productive work environment.
- Coordinate maintenance, repairs, renovations, office moves, and workplace improvement projects.
- Manage facilities service providers including cleaning, security, pest control, office maintenance, and building management teams.
- Ensure workplace compliance with safety, health, environmental, and building regulations.
- Support business continuity initiatives and workplace emergency preparedness programs.
- Drive workplace efficiency and employee experience enhancement initiatives.
3. ISO Management Systems & Compliance
- Coordinate and maintain ISO management systems including documentation, records management, and compliance requirements.
- Support internal and external ISO audits, surveillance audits, and certification renewals.
- Monitor corrective and preventive actions arising from audit findings and ensure timely closure.
- Facilitate management review meetings and maintain audit readiness across departments.
- Work closely with process owners to ensure continuous compliance with ISO standards and corporate governance requirements.
- Support policy development, process reviews, and continuous improvement initiatives.
4. Sustainability & ESG Reporting
- Coordinate data collection and validation for sustainability reporting requirements.
- Consolidate environmental, workplace, operational, and governance performance data from relevant stakeholders.
- Support the preparation of sustainability reports, ESG disclosures, and regulatory submissions.
- Track sustainability performance indicators and support initiatives aligned with corporate sustainability objectives.
- Collaborate with business units to improve sustainability data quality, reporting processes, and governance controls.
- Assist in implementing sustainability initiatives and awareness programs across the organisation.
5. Stakeholder & Vendor Management
- Act as the primary liaison with building management, service providers, auditors, and external agencies.
- Build effective partnerships with internal stakeholders to support workplace and operational requirements.
- Manage vendor performance against contractual obligations and service level agreements (SLAs).
- Support cross-functional projects related to workplace, sustainability, governance, and operational excellence.
Key Requirements
Qualifications
- Degree in Business Administration, Facilities Management, Building Management, Engineering, Sustainability, Environmental Management, or related disciplines.
- Professional certification in Facilities Management, Sustainability, ESG Reporting, or ISO Lead/Internal Auditor certification will be advantageous.
Experience
- Minimum 3 to 5 years of relevant experience in office administration, facilities management, corporate services, workplace management, sustainability reporting, or ISO management systems.
- Experience supporting ISO certification audits and management systems.
- Experience managing vendors, procurement activities, and workplace operations.
- Exposure to sustainability reporting or ESG data management will be advantageous.
