Job Purpose
The Corporate Administration & Digital Support Officer will provide high-quality administrative, reporting, and technology support to the Maritime Education and Training (MET) team. The role involves coordinating activities with overseas partner colleges in the United Kingdom, supporting compliance and quality assurance requirements of Nigerian and UK maritime regulators, managing corporate documentation, and leveraging modern digital tools to improve operational efficiency, reporting, and decision-making.
The successful candidate will be highly proficient in Microsoft Office applications and modern business intelligence and collaboration platforms, with excellent organizational, communication, and stakeholder management skills.
KEY RESPONSIBILITIES
Corporate Administration
· Provide comprehensive administrative support to management and academic teams.
· Draft, edit, format, and maintain professional correspondence, reports, policies, procedures, meeting minutes, and presentations.
· Manage electronic and physical filing systems ensuring document control and version management.
· Coordinate meetings, webinars, inspections, audits, and visits involving local and international stakeholders.
· Manage calendars, travel arrangements, accommodation bookings, and logistics for staff and visitors.
· Prepare executive reports and board papers as required.
Digital Reporting & Analytics
· Develop and maintain management dashboards using Microsoft Power BI or equivalent business intelligence tools.
· Generate periodic reports on student performance, enrolment, attendance, progression, assessments, and operational KPIs.
· Analyse data trends and provide insights to support strategic decision-making.
· Extract, clean, validate, and present data from multiple systems.
· Support automation of reporting processes through modern digital solutions.
Educational Administration Support
· Assist with student administration processes and training programme documentation.
· Maintain records required for quality assurance, accreditation, audits, and regulatory inspections.
· Support implementation of educational policies and procedures.
· Monitor key academic and operational deadlines and follow up with relevant stakeholders.
· Assist in preparing documentation required by maritime regulatory authorities and awarding bodies.
International Collaboration
· Act as an administrative liaison between Nigerian operations and UK partner colleges and institutions.
· Coordinate exchange of documentation, reports, student records, and regulatory submissions.
· Support virtual and physical meetings with overseas partners.
· Ensure timely communication and follow-up on international collaborative projects.
Quality Assurance & Compliance
· Support compliance with the requirements of relevant UK and Nigerian maritime regulators and educational quality assurance frameworks.
· Maintain records of audits, corrective actions, and quality improvement initiatives.
· Track regulatory requirements and support management in maintaining compliance.
· Assist in preparing evidence portfolios and compliance reports.
Technology & Systems Support
· Administer support through Microsoft 365 applications including Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and OneDrive.
· Support implementation and use of Learning Management Systems (LMS), Student Information Systems (SIS), and other educational technologies.
· Assist staff in using digital collaboration and reporting tools effectively.
· Identify opportunities for process improvement and digital transformation.
Requirements
Bachelor's Degree in Business Administration, Office Management, Information Technology, Data Analytics, Education Administration, Maritime Studies, or a related discipline.
Additional certification in Microsoft Office, Business Intelligence, Data Analytics, Project Management, or Quality Assurance will be an advantage.
Experience
Minimum of 3-5 years' experience in corporate administration, educational administration, project coordination, or a similar role.
Experience working in an educational institution, maritime sector, training organisation, or international partnership environment is highly desirable.
Experience supporting senior management and handling confidential information.
