We are seeking a highly organized, detail-oriented, and service-minded Administrative Operations Specialist to join our Central Administrative Operations team. This person will provide accurate, responsive, and dependable support to our Client Service teams and clients across the country.
As an important member of a collaborative and client-focused team, you will help create a consistent, positive experience for both clients and teammates. This role is best suited for someone who is comfortable working in a fast-paced, high-volume environment, can manage multiple detailed tasks without sacrificing accuracy, and takes pride in reliable follow-through. The work is structured and process-driven, with recurring tasks or routine at times, so success requires focus, consistency, and comfort with elements of repetition.
The ideal candidate enjoys learning complex systems, workflows, and operational requirements and is motivated to build deep expertise over time. You will follow established processes while also identifying thoughtful opportunities to improve efficiency, reduce errors, and make the experience better for clients and teammates. Strong organization, attention to detail, clear communication, sound judgment, and a genuine commitment to helping others are essential for success in this role.
Your Role
- Prepare and process client onboarding, account implementation, and maintenance documentation with accuracy and care.
- Serve as a trusted operational partner to Client Service teams, providing timely support on account activity, service needs, and process questions.
- Manage a high volume of detailed and recurring tasks in a fast-paced environment while maintaining organization, accuracy, and follow-through.
- Gather, enter, and maintain client information in Salesforce, protecting the accuracy and integrity of client records.
- Learn and navigate complex systems, custodial platforms, workflows, and operational requirements.
- Process money movement and investment-related requests, including capital calls, distributions, journals, trades, and asset transfers.
- Monitor custodial alerts and research account, system, or data discrepancies, communicating progress and escalating issues when needed.
- Follow established policies and workflows while identifying thoughtful opportunities to improve efficiency, reduce errors, and strengthen the experience for clients and teammates.
- Partner with the Client Service Operations leadership and internal teams to document and update procedures and support process-improvement initiatives.
- Respond to requests promptly, track work through completion, and proactively follow up to ensure clients and teammates receive dependable support.
Your Experience
Minimum of 2 years of relevant experience in financial services industry required; preferably with a Registered Investment Advisor (RIA), investment management firm, or bank
Undergraduate degree desired; Business, Economics, Finance, or Accounting preferred. High school diploma, completed GED, or equivalent required.
Excellent interpersonal and verbal/written skills
Self-motivated with a proven ability to work in a fast-paced, deadline oriented, evolving work environment
Excellent organization, prioritization, and time management skills
Must be detail oriented with a high degree of accuracy
Takes pride in providing exceptional support and consistency to clients and the team
Strong computer skills; proficiency in Microsoft Office products (Word, Excel, Windows) required
Knowledge of Salesforce CRM, Tamarac, and banking or financial custodian platform preferred
Expected to learn other position-related systems on the job
This role is an in-office, full-time, and non-exempt position. Hours are Monday through Friday - 8:00 am - 5:00 pm Scottsdale time. We are a work from office culture with lots of flexibility.
