About the role
We are looking for an experienced Admin Executive to provide high-level administrative support to the team based in Singapore. This role requires someone who can manage competing priorities, handle administrative matters efficiently and work well in a fast-paced, collaborative environment.
Key responsibilities
- Manage travel bookings for the team, coordinating multiple busy schedules and resolving booking challenges.
- Manage expense claims for the team.
- Act as the designated online approver for team members’ travel bookings, obtaining the necessary approvals before authorising bookings.
- Coordinate local and overseas courier services for the team.
- Prepare travel itineraries, agendas and expense reports, and audit travel-related expenses.
- Ensure smooth travel and administrative arrangements, including visa applications, flights, car bookings, and hotel and restaurant reservations.
- Adhere to company compliance standards and policies.
- Organise and run company-wide events and offsite meetings.
- Handle sensitive information with discretion and confidentiality.
- Contribute to team objectives and provide administrative support as needed.
- Undertake other ad hoc tasks as assigned.
Experience and skills
- At least 4–5 years of experience providing administrative support to a team. Agency experience is preferred but not essential.
- A strategic, confident problem-solver who can take the lead on projects alongside senior executives.
- Highly organised, adaptable, resilient and mature, with the ability to manage pressure and ambiguity.
- Resourceful and calm under pressure, with the ability to resolve issues promptly and effectively.
- Strong proficiency in Microsoft Office.
- A team player with strong interpersonal and collaboration skills.
- Excellent listening skills and strong verbal and written communication in English.
