Position Overview

The Accounting Clerk supports the daily operations of the accounting department, with a primary focus on customer billing and accounts receivable. The majority of this work is performed in ServiceTitan, the company’s field service software, along with Microsoft Office. The position also involves regular communication with customers by phone and the verification of vendor bills prior to payment.

Prior experience with ServiceTitan is not required, as training will be provided, but prior experience is a plus. Candidates should, however, possess strong computer skills, a high level of accuracy, and a professional approach to customer service.

Primary Responsibilities

• Invoice Billing in ServiceTitan: Review completed jobs and prepare, verify, and issue accurate customer invoices in a timely manner.

• Accounts Receivable Management: Post customer payments, monitor open balances and aging reports, follow up on past-due accounts, and maintain accurate customer account records.

• Customer Phone Support: Answer incoming customer calls professionally and efficiently, respond to billing inquiries, process payments by phone, and direct calls to the appropriate department as needed.

• Vendor Bill Matching: Match vendor bills to packing slip receipts to confirm that charges reflect the materials received, and work with vendors and internal staff to resolve any discrepancies.

• Vendor Bill Expense Allocation: Review and classify back-office bills to proper GL accounts and departments, and approve for payment submission.

• Data Entry and Auditing: Enter and review information across company systems to ensure accuracy and consistency.

• Interdepartmental Coordination: Work with dispatch, technicians, and other departments to support the timely completion of jobs and related documentation.
