Job Description Summary

The Accountant II provides critical support in fixed asset accounting and capital budget analysis. The College’s capitalization policy is the primary framework for the work, and the incumbent is expected to know it thoroughly and apply it consistently. Responsibilities include determining the proper capitalization treatment of expenditures; maintaining the fixed asset system; reconciling accounts, including bank reconciliations; preparing journal entries; assisting with monthly and year-end closings; serving as a backup for Accounts Payable; and preparing various financial and tax reports to ensure accurate financial management and compliance.

Job Description

DUTIES AND RESPONSIBILITIES:

  • Apply the College’s capitalization policy to determine whether expenditures are capitalized or expensed, and document the basis for each determination.
  • Maintain and keep accurate records of the fixed asset database, including tracking additions, disposals, and depreciation.
  • Conduct the annual fixed asset inventory and reconcile it with accounting records.
  • Reconcile complex capital accounts, identify variances, and verify the accuracy of journal entries in the general ledger.
  • Maintain an accurate and reconciled database for fixed assets and provide financial reporting related to fixed assets.
  • Work with other departments (e.g., Facilities, Institutional Technology) to ensure accurate asset information, communicate capitalization policy requirements, and address any related issues.
  • Analyze and reconcile capital budget projects and ensure financial reporting accuracy for capital expenditures.
  • Develop budget-to-actual reports for capital projects to support accurate expenditure forecasting.
  • Develop depreciation projections to support the budgeting process and forecasting analysis.
  • Support Facilities in developing major construction cost projections using detailed budget-to-actual data.
  • Prepare and maintain expense allocations.
  • Prepare and post journal entries and perform account reconciliations as needed.
  • Prepare bank reconciliations and supporting documentation for audit purposes.
  • For non-degree auxiliary programs, perform accounting activities to include preparing journal entries, reconciling accounts, monitoring system integrations, researching and resolving accounting discrepancies, and analyzing ledger activity.
  • Assist with monthly and fiscal year-end closing activities.
  • Assist with the preparation of the Tangible Personal Property Tax return.
  • Investigate and resolve discrepancies; make necessary adjustments to ensure financial data integrity.
  • Create ad hoc financial reports and analyses to support departmental decision-making.
  • Ensure financial compliance with the College’s capitalization policy and other College policies, procedures, and audit disclosure requirements.
  • Serve as a backup for the Accounts Payable role.
  • Perform other related duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong knowledge of financial and accounting principles, especially in fixed asset accounting and capital project analysis.
  • Thorough working knowledge of the College’s capitalization policy, with the ability to interpret and apply it consistently, along with GAAP and other institutional policies.
  • Analytical and problem-solving skills to identify discrepancies and resolve issues related to fixed asset accounting.
  • Advanced proficiency in Microsoft Excel, including the use of formulas, pivot tables, and data analysis tools.
  • Experience with Business Assets in Workday is preferred.
  • High attention to detail, accuracy, and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently, meet deadlines, and manage multiple tasks effectively.
  • Comfortable working with diverse teams across departments.

Education and Experience

Minimum:

  • Bachelor’s degree in accounting or a related business discipline.
  • Five years of relevant experience with accounting software in a computerized accounting environment.
  • Demonstrated experience with fixed asset tracking, depreciation, additions, disposals, and reconciliations, including applying a capitalization policy and thresholds to determine the proper treatment of expenditures.
  • Experience analyzing and reporting on capital budgets and expenditures.
