We are looking for a Real Estate Transaction Manager to join our Global Real Estate team and take full ownership of leasing matters across our international office portfolio. Reporting to the Global Head of Facilities & Real Estate, you will be a key driver in enabling our dynamic growth by ensuring our teams have the best possible workspaces to thrive in.
You will join a lean, ambitious Real Estate & Facilities team that is constantly building and evolving. Your mission is to independently lead the full lifecycle of office transactions, from acquisitions and renewals to regears and disposals - while implementing the global standards that drive efficiency across our diverse markets. What you’ll be doing
Leading the end-to-end execution of office transactions, including market search, financial analysis, and legal negotiations for acquisitions and renewals.
Developing and managing transaction budgets and timelines to ensure all global workspace projects stay on track and within financial targets.
Optimizing deal terms and commercial structures to maximize flexibility and cost-efficiency for our rapidly shifting business needs.
Collaborating cross-functionally with local business leads and internal teams to translate operational requirements into successful real estate strategies.
Establishing and refining global transaction standards and KPIs to ensure consistency and excellence across our 30+ countries of operation.
Acting as the primary point of contact for external brokers and landlords, managing these relationships to secure the best possible outcomes for Wolt.
Our humble expectations
Extensive experience in international office leasing and transaction management, specifically from an occupier or tenant representation perspective.
Proven ability to negotiate complex commercial lease terms and a deep understanding of legal frameworks across multiple international jurisdictions.
Strong financial acumen with experience in budget planning and ability to support our optimizing for total cost of occupancy.
Excellent stakeholder management skills, with the ability to communicate complex real estate strategies to non-expert business leaders.
A proactive, "builder" mindset with the ability to work independently and make sound decisions in a high-growth, fast-changing environment.
Full professional fluency in English; while this role is based in our Berlin office, our internal business language is English.

About the Team
Our Wolt Workplace team runs our offices, to ensure our workplaces’ functionality, comfort, safety, sustainability and efficiency. Our Workplace Managers in-country ensure that our offices are properly set up for collaboration and focus as well as ensuring that our smaller satellite locations are appropriately supported and well-equipped, and that workplace programs cater to a diverse population of onsite and remote employees. Workplace is a part of the wider Real Estate & Facilities teams and in partnership with the wider team we aim to remove any and all friction in the physical space that prevents our employees from being their most successful.
You’ll be responsible for the Workplace Experience and Operations for a specific country, running things on the ground and creating functional and efficient workplaces for our Austrian offices, employees and guests.

Wolt is looking for a Workplace Coordinator on a permanent basis, who will report to the Regional Workplace Manager, Central and work out of our Austrian office. You will play an important role in supporting our Workplace operations onsite and be a valued part of our global teams to help shape our workplace function.

Workplace Coordinators are responsible for supporting our exceptional workplace experience to all employees, visitors, contractors and courier partners, while ensuring an optimal use of resources. You will be supporting our Regional Workplace Manager, Central and wider Real Estate & Facilities teams to ensure our workplace functionality, comfort, safety, sustainability and efficiency; that our office is properly set up for collaboration and focus, as well as providing remote support for any smaller satellite sites.
What you’ll be doing
Own the day-to-day implementation of policies, procedures, and programs that assure a well-managed, well-maintained building which accommodates the safety of the occupants and visitors.
Be the go-to point to manage requests from employees related to office operations through Slack, email and our ticketing system, escalating to the Regional Workplace Manager, Central or wider Real Estate & Facilities teams / other internal teams as required.
Help create and update our office wide communications and technology systems and training materials related to office practices.
Manage office supplies and consumables (stationery, swag, janitorial products, snacks and beverages) selection, ordering and inventory.
Cross-Team collaboration (IT and People Operations) to update seating plans, occupancy reports, team relocations and onboarding / off-boarding protocols.
Assist the Regional Workplace Manager, Central to conduct regular office walkthroughs to ensure service expectations are met.
Support Site Wide Event coordination, creating and communicating processes for employees to self manage internal events, and coordinating workplace specific event related tasks such as cleaning, room setup and building specific protocols.
Assist the Regional Workplace Manager, Central in providing education and training to Vendor Partners including Receptionists and Facilities Managers on Wolt values and practices.
Assist with Reception and Mail and package organization and distribution duties as required, presenting a professional and welcoming first contact to all visitors.
Manage Key registers and access authorisation as required by the Regional Workplace Manager, Central.
Provide backup support for the Regional Workplace Manager, Central for sickness and holiday cover.

Role background
Responsible for the Workplace Experience and Operations for a geographical region spanning 10 countries, our Workplace Managers combine People, Technology, and Space across Office and Serviced Office locations to create an exceptional workplace experience for our Employees, Visitors, Contractors and Courier Partners. Regional Workplace Managers support their direct reports (in country workplace managers) to perform at their best, providing guidance and oversight to ensure our workplaces’ functionality, comfort, safety, sustainability and efficiency; whilst ensuring that our office ‘hubs’ are properly set up for collaboration and focus as well as our smaller satellite locations without onsite staff appropriately situated, supported and well-equipped.
What you’ll be doing
Lead a regional team of Workplace Managers & Workplace Coordinators in ensuring our workplace experience supports Wolt’s mission & values and team objectives are met.
Setup and onboard new offices as Wolt expands in your region. Partner with business leads, local and global teams to ensure effective communication with landlords, internal and external stakeholders so that office projects in your region can be delivered on time and in accordance with both Wolt’s global standards and any local requirements.
Ensure all sites within the regional portfolio are managed and maintained to a high standard and in compliance with local and global policies and guidelines.
Build department policies and procedures in conjunction with Wolt’s Global Workplace and Facilities manager, complying with International Health and Safety Standards.
Partner with South region teams such as Physical Security and Safety, Sustainability and People to provide office specific program roll outs for initiatives such as Health and Safety, Sustainability and DEI, Internal Events and Community.
Partner with Integrated Facilities Management Vendors to ensure safe and compliant workspaces and that service level agreements are met. Conduct formal site condition inspections and work closely with responsible parties to ensure any deficiencies identified are resolved.
Create and own the development of annual Opex budgets for your region, tracking and reporting on financial variance and operations expenses management.

Bachelors or equivalent years of experience. Industry body qualifications (IWFM, CFM or similar) are a bonus.

You will work together with the global Real Estate & Facilities teams and help relocate our site in Bucharest in 2025 and then help move and shape our new workplace experience and site operations. The person in this position must be a creative problem solver; adept at handling multiple tasks concurrently. Combining People, Technology, and Space across our Office and Serviced Office locations to create an exceptional workplace experience for our Employees, Visitors and Contractors whilst ensuring an optimal use of resources. You will need to possess the ability to take thoughtful initiative and the desire to go above and beyond. What you’ll be doing:
You are the primary point of contact / Directly Responsible Individual to landlords, vendors and local stakeholders for all workplaces within your country, which includes our main office in Bucharest and smaller satellite office in Timisoara & Cluj;
Day-to-day implementation of policies, procedures, and programs that assure well-managed, well-maintained building/s with a focus on functionality, comfort, safety, sustainability and efficiency;
Lead all workplace programs, including but not limited to food & beverages, lockers, mail services, space planning, reception experience, and workplace technology;
Manage all site-specific workplace projects and initiatives to improve the workplace by writing playbooks, operationalizing guidelines, and physically improving the office;
Streamline accessibility of our offices and services ensuring spaces and services are easy to navigate and use, automating and innovating to enable self service where it makes sense;
Promote a high level of employee satisfaction by ensuring prompt responses to the concerns and needs of the occupants, environmental, health and safety, and quality programs. Ensure the same level of service from team members and Workplace vendors;
Working alongside local and global stakeholders, develop and maintain a detailed understanding of Wolt’s business and key factors influencing their service requirements;
Build strong relationships with business leaders and local teams to understand their business functions and how to deliver workplace experience strategies that support them;
Coordinating the activities, financials, vendors, and staffing required for current and future needs of the building, infrastructure and operations including owning the country facilities operating budget;
Establish, maintain and manage vendor relationships and implement clear KPIs and contract management processes to ensure efficient service agreements are met;
Leading and managing the local workplace team members including coaching, training and development of up to two direct reports (number depending on the size of location/s);
Provide information and training to Vendor Partners including Receptionists and Facilities Managers on Wolt values and practices;
On-site stakeholder liaison during planning and construction of office expansions;
Responsible for space planning, tracking, move coordination, and new hire space accommodations;
Manage the planning, execution, and post-event reporting of team onsite events and support ad-hoc company-wide event needs in the local office. Creating and communicating processes for employees to self manage large internal events, and coordinating workplace specific event related tasks such as workplace activation initiatives, cleaning, room setup and building specific protocols;
Collaborate with Global Real Estate, Facilities, IT, Safety, Security and Sustainability teams to roll out global policies and initiatives Woltwide.
