Your mission is twofold: optimizing our talent acquisition engine using AI, and mapping the "Rubrik Journey" by streamlining workflows and building a world-class internal knowledge base.

What You’ll Do:

• AI & Systems Integration: Assist in the rollout of AI to revolutionise how we source and engage talent, ensuring seamless connectivity across our tech stack.
• TA Process Architecture: Design and scale standardised recruitment workflows—from intake meetings to offer generation—to ensure a high-velocity, bias-free hiring experience.
• Process Mapping & Architecture: Partner with HR, Payroll, and IT to document end-to-end workflows (onboarding, internal mobility, etc.) to bring clarity to global People processes.
• Knowledge Management: Build and maintain an AI-ready "PeopleOps Wiki," ensuring employees and candidates have self-service access to human-friendly information.
• Data-Driven Insights: Create dashboards to track the efficacy of AI-driven sourcing and identify "moments of truth" in the employee lifecycle to boost retention.
• Enablement: Create "How-To" guides and lead training sessions for the global team on new AI features and standardised SOPs.

Who You Are:

• The Tech-Savvy HR Pro: Pursuing an MBA/Master’s in HR, Business, or Data Science with a genuine obsession with Generative AI and automation.
• AI Systems Fluency: You’ll act as our "AI specialist", using tools like Glean for cross-platform knowledge retrieval. You will assist the team in using LLMs (like Claude or Gemini) to synthesise complex policy documents and help structure data to improve our internal workflows.
• Data Literacy: Ability to use Google Sheets to track "What’s working?" and "What’s not?" using basic formulas and charts.
• Workflow Mapping: You can visualise a journey (like a new hire’s first day) and identify exactly where the "friction" or "manual gaps" are.
• Detail Auditing: A "sharp eye" for catching errors in policy documents or data sets before they reach the employee.

Rubrik (RBRK), the Security and AI Operations Company, leads at the intersection of data protection, cyber resilience, and enterprise AI acceleration. Our Global Benefits team is dedicated to ensuring Rubrikans are supported through every stage of their journey.

As our India Benefits & AI Operations Intern, you will play a pivotal role in our own AI transformation. Reporting to the Manager of India Benefits, you will bridge the gap between human-centric support and cutting-edge technology. Your mission is to audit, structure, and modernize our benefits data so it can be seamlessly leveraged by AI tools, ensuring our employees get the right answers at the right time.

What You’ll Do

• Build the Foundation: Develop a fully functioning, AI-ready knowledge base for all India benefits (employee-facing) to provide instant, clear support.
• Market Benchmarking: Research and benchmark India benefit trends and competitive offerings to ensure Rubrik’s programs remain market-leading, inclusive, and aligned with our EVP.
• Optimize Internal Ops: Create internal-facing documentation for India and APAC benefits processing to streamline workflows for the Global Benefits team.
• AI Data Auditing: Review and refine existing policy documents to ensure they are structured for high-performance AI tools like NotebookLM or similar LLM platforms.
• Enhance Jira Service Management: Build out and refine knowledge articles within the Jira help desk to improve self-service capabilities.
• Process Automation: Identify and propose opportunities to leverage AI to automate manual benefit administration tasks.
• Cross-Functional Collaboration: Partner with HR Operations and IT to ensure benefits data is accessible, inclusive, and accurate across all internal platforms.

This role will report into the Sr. Director, Global People Partners and have a dotted line into our Internal Employment Counsel.   This is a US focused role but will have opportunities to be involved or drive aspects of our International ER cases as well.   Role will be hybrid, based out of our Palo Alto HQ office with at least 3 days in the office.  There is a possibility for this role to be based in Austin depending on the candidates experience and expertise level.

Responsibilities: 

• Serve as a SME and advisor on employee relations best practices and strategies to the HR BP’s, People Partners and the business
• Conduct investigations to address employee concerns and provide recommendations to the HRBP, Legal, People Leader and stakeholders to determine appropriate actions
• Collaborate with our internal Legal team to develop and execute investigation plans, document findings, and recommend appropriate resolutions for employee relations matters
• Partner and consult with Legal to ensure consistent interpretation and application of policies and practices related to employee relations cases
• Liaison to external counsel on HR-related investigations
• Create documentation and investigation reports
• Analyze trends in employee relations issues and provide actionable insights and recommendations to senior leadership to support a healthy and productive work environment
• Contribute to our frontline managers development and growth through specific training/education on fundamental ER topics that creates and support a fair and equitable workplace 
• Facilitate and support interactive processes with employees seeking a reasonable medical accommodation
• Maintain case tracking systems and reports, monitoring data and trends, and regularly update key stakeholders on key metrics and insights
• Participate in key people or business initiatives as required

Experience required:

• Bachelor’s Degree, 3 to 5 years of direct experience with workplace investigations (experience investigating allegations of harassment, discrimination and retaliation)
• Knowledge of federal, state and local laws, statutes, which govern employment policies and practices
• Strong understanding and application of workplace investigations best practices and standards, including conducting neutral fact-finding interviews, credibility assessments, and maintaining confidentiality
• Excellent planning, organization and time management skills, attention to detail, ability to handle multiple tasks, and work in a fast-paced, time-sensitive environment
• Ability to objectively communicate with employees and management through complex, difficult, and emotional issues. Outstanding written and verbal communication skills
• Strong business acumen and ability to build relationship across all levels within the organization
