This role

The Promoter Coordinator plays a vital operational role within the South Africa Go to Market team, supporting the effective deployment, administration, and day-to-day coordination of Brand Ambassadors (BAs) across PayJoy’s retail and kiosk network. Reporting to the National Sales Manager, this role bridges field execution and management oversight by ensuring promoter records are accurate, onboarding is completed on time, performance is monitored, and first-level issues are resolved efficiently. The Promoter Coordinator enables the sales team to operate at scale by providing structured administrative and operational support that drives BA productivity and compliance.

Responsibilities

BA Onboarding & Registration: Administer the dissemination of registration links for new Brand Ambassadors, track completion status, and ensure all BAs are fully registered and activated ahead of launch dates. Coordinate logistics for onboarding communications and virtual or in-person training sessions.

BA Master File Management: Maintain and update the BA Master File with accurate contact details, store assignments, performance status, and any changes resulting from movements, terminations, or new placements. Ensure records are current and accessible at all times.

Daily Sales Monitoring & First-Level Follow-Up: Check daily sales performance across the BA network using dashboards. Proactively follow up with underperforming or non-compliant BAs and escalate persistent issues for further action.

Promoter Movements & Transitions: Document and communicate approved promoter transfers between stores or regions. Liaise with agencies and field teams to ensure smooth transitions and that all system records reflect updated assignments timeously.

Agency Liaison & Coordination: Act as a first point of contact for agencies on minor staffing changes, BA availability queries, and day-to-day coordination tasks. Support bi-weekly agency check-ins by preparing relevant performance updates and flagging operational bottlenecks.

Fraud Training Coordination: Coordinate the logistics of fraud training sessions for BAs, including scheduling, attendance tracking, and distribution of training invites. Support the review and escalation of flagged BA profiles

Reporting & Dashboard Support: Extract and compile structured weekly performance reports from available dashboards for review. Flag non-compliance, attendance concerns, and sales trends proactively.

PayJoy Connect & Continuous Training: Ensure Brand Ambassadors have access to up-to-date training content on and track assessment completion as part of ongoing compliance requirements.

Requirements

Minimum 2–3 years of experience in a sales support, field coordination, or administrative role within a sales or marketing environment.

Advanced use of Google Sheets for reporting and analysis.

Basic SQL knowledge for data queries and reporting integrity.

Excellent analytical and problem-solving skills.

Ability to manage cross-functional processes and stakeholders.

Strong communication and reporting skills.

This role

The Merchant Operations Representative is responsible for running and maintaining processes linked with our commercial team and merchants, providing administrative support, guarantees the effective admin/merchant/clerk (partners) onboarding process, identifying potential risks in current processes, and providing insights to stakeholders.

Responsibilities

Handle partners’ queries, support requests, and operational coordination. Act as a subject matter expert regarding specific issues and concerns raised by the partners.

Provide accurate, valid, and complete information by using the right methods/tools

Manage merchant/partner onboarding, including merchants' documentation in order and filed to facilitate the search when needed (official letters, complaints, etc.), data entry, and record-keeping.

Provide technical guidance to the customer on using a product or service effectively and efficiently.

Document and escalate issues they encounter with the merchant console and escalate complex issues to higher-level support personnel.

Oversee store-related tasks, including creation, closure, and clerk management.

Own the partner communication channel and NPS, by chats, Whatsapp and social networks.

Provide a weekly report (during a meeting or through a template) and recommendations for better merchant experience for the related managers.

Requirements

Bachelor's degree in industrial engineering, administration, or a related field.

More than 1 year of experience in support and/or account management in sectors such as telecommunications, retail, and/or finance.

Self-orientation, drive, and ability to communicate clearly and persuasively to customers.

Strong technology skills (MS Office, CRMs, SQL, Google Suite or Office, especially Excel, etc.) and ZOHO, Zendesk, and other CRM systems

Ability to communicate their ideas assertively, solve problems effectively, and maintain a constant focus on continuous improvement.

This role

As a merchant operations analyst, your role will ensure PayJoy assets are maintained and accounted for, reducing financial loss for PayJoy ZA.

Your role will be vital in assisting with live and post sale technical issues as well as operational administrative tasks. Identifying and collecting information needed for system/process improvements.

The perfect candidate should be comfortable communicating with people across the organization and focused on improving customer and clerks' experience. You should be able to solve problems, improvise as needed, and be adept at executing and managing time for various tasks.

Responsibilities

Investigate and identify customers on social media posts for PayJoy app removal

Maintain communication to collections team of customers that have removed the app

Device repairs - Manage and maintain direct contact with repair centers for PayJoy devices

Support TSA with evidence on issues reported by customers and customer experience on devices.

Test special projects implementation and document all issues found

Assist with special project rollouts

Technical training for other departments and customer experience

Responsible for in store device collections for canceled customers

Maintain clerk registration links for new store rollouts

Bridge between PayJoy and external CX team

Inventory management - Maintain tablet rollout, inventory and up to date store tablet allocations

Inventory management in office - Customer cancellations

Maintain APN Sim card activations, inventory and accurate store sim allocations

Kiosk support - Direct support for promoters for the first 30 days of a new kiosk location

Respond to CX inquiries: Technical Operations Analysts are responsible for answering the customer's experience team’s technical questions and resolving technical issues that they encounter while using a product or service.

Troubleshoot technical issues: Technical Operations Analysts must be able to diagnose and troubleshoot technical problems that customer experience encounter with products or services.

Provide technical guidance: Technical Operations Analysts must provide customer experience with guidance on how to use a product or service effectively and efficiently.

Document and escalate issues: Technical Operations Analysts must document all issues that they encounter with the merchant console and escalate complex issues to higher-level support personnel.

Conduct research: Technical Operations Analysts must conduct research to identify problems.

Collaborate with other teams: Technical Operations Analysts must collaborate with other teams, such as collections, finance, sales and CX to identify issues and improvement opportunities.

Test and evaluate products: Technical Operations Analysts must test and evaluate new products and services to ensure they are functioning properly and meet customer needs.

This position will also require participation in an (off-hours/weekend) rotation

Support Operations team with merchants administrative needs

Work with other PayJoy Teams to ensure successful execution of regional projects

Be adaptive as needed to support internal and external customer needs
