Multi-site Dermatology Group Seeks Recruiter

Optima Dermatology is recruiting a Recruiter to join our Practice Support Center, based in Portsmouth, NH.

Position Details:

Reporting to the Director of Human Resources, the Recruiter will support the full-cycle recruitment process for all clinical support positions. This includes drafting and advertising positions, identifying and screening applicants, actively sourcing, scheduling, and coordinating interviews.

Responsibilities:

• Review applications and identify qualified candidates for further consideration
• Schedule and conduct initial phone or video screens and share candidate summaries, resumes, and notes with hiring managers
• Schedule video and coordinate in-person interviews for departmental leaders
• Source additional talent by utilizing a variety of techniques, tools, and sourcing channels, contacting passive candidates, and building pipelines for future hiring needs
• Draft and update job descriptions and manage posts across all channels, including job boards, posting sites, social media, etc.
• Maintain and update our Applicant Tracking System (Greenhouse), ensuring candidate data is accurate and up to date
• Assist in preparing recruitment reports and ensuring data accuracy
• Participate in weekly and monthly pipeline meetings and provide updates on candidate activity and progress
• Collaborate with other members of the recruitment team to support recruitment campaigns and employer branding efforts
• Provide coordination and support to hiring managers throughout the recruitment process
• Learn and apply recruiting best practices under the guidance of HR leadership

Qualifications:

• Bachelor’s degree or relevant work experience
• 2+ years of recruiting, HR, or related experience
• Strong organizational skills with the ability to manage multiple tasks and priorities
• Detail-oriented with a high level of accuracy in work
• Comfortable working in a fast-paced, team-oriented environment
• Experience with sourcing, tracking, and managing candidates within a robust ATS and/or CRM (Greenhouse preferably)
• Demonstrates ability to work in conjunction with other key functions, and hiring managers in a comprehensive team approach
• Strong communication skills, both written and verbal
• Technologically savvy
• Self-motivated with a willingness to learn and grow in the role

Optima Dermatology is recruiting a Human Resources Coordinator to join our Practice Support Center, based in Portsmouth, NH.

Position Details:

The Human Resources Coordinator plays a critical role in supporting the organization through a period of growth, operational improvement, and cultural evolution. This role is responsible for coordinating onboarding for clinical and non-clinical employees, maintaining HR documentation, and ensuring seamless day-to-day HR operations.

This position is designed for a hands-on HR professional who thrives in execution, coordination, and continuous improvement, and who is interested in growing their scope and ownership over time through mentorship and partnership with senior HR leadership.

Responsibilities:

Employee Lifecycle Administration & Coordination

• Own and coordinate the employee lifecycle from offer acceptance through exit, ensuring a consistent, well-organized experience for employees and managers.
• Coordinate onboarding logistics and transitions from pre-hire through Day 1 and early tenure.
• Administer offboarding processes, including exit interviews, documentation, and system updates.
• Maintain accurate employee lifecycle records and data in Paylocity, partnering with Payroll & Benefits to ensure data integrity.

Performance Management & Engagement Programs

• In partnership with HR leadership, coordinate and administer performance management cycles, including timelines, communications, system setup, and follow-through.
• Support employee engagement initiatives such as surveys (eNPS), recognition programs, and culture-building efforts.
• Partner with HR leadership to translate engagement insights into follow-up actions and improvements.

HR Operations & Process Improvement

• Identify gaps, inefficiencies, and breakdowns in HR processes and participate in process improvement efforts.
• Maintain HR SOPs, templates, and workflows.
• Support cross-functional HR initiatives and special projects as needed.
• Conduct or acquire background checks and employee eligibility verifications.

Qualifications:

• Ability to act with integrity, professionalism, and confidentiality.
• Bachelor’s degree or equivalent.
• Multiple years of human resource experience preferred.

• Prior experience in an HR Coordinator or HR Operations role with exposure to employee lifecycle administration.
• Experience coordinating onboarding, performance cycles, or engagement initiatives.
• Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
• High attention to detail and comfort working in HR systems (Paylocity or similar preferred).
• Strong communication skills and the ability to partner effectively with employees, managers, and senior HR leaders.
• Interest in professional growth and developing broader HR capability over time.

The Senior People Operations Partner is a critical leadership role responsible for stabilizing and strengthening core people operations during a period of rapid growth and organizational change. This role sits between tactical execution and strategic HR leadership, ensuring that foundational processes, compliance, and employee experience are managed consistently and effectively.

This position partners closely with HR leadership to oversee employee relations workflows and drive operational rigor. The role is designed to bring structure, judgment, and accountability to complex HR workstreams while helping prepare the organization for continued growth and future transitions.

Responsibilities:

People Operations Oversight

· Manage and oversee core people operations workflows, ensuring consistency, clarity, and follow-through across the employee lifecycle.

· Partner with HR leadership to prioritize and sequence work during periods of high volume or risk.

· Identify operational gaps, breakdowns, or recurring issues and lead efforts to stabilize and improve processes.

Employee Relations

· Manage employee relations processes in close partnership with HR leadership.

· Support intake, documentation, and coordination of ER matters while escalating judgment-based decisions appropriately.

· Help establish ER SOPs, tools, and escalation frameworks to reduce risk and improve consistency.

Leave of Absence Administration

· Administer leave of absence processes (medical, parental, personal) from intake through return-to-work, including tracking, documentation, and communication.

· Partner with senior HR leadership on policy interpretation and non-routine situations.

HR Process Design & SOP Development

· Lead the development and documentation of HR processes, templates, and SOPs across key workstreams (ER, onboarding, lifecycle events, compliance).

· Ensure processes are scalable, auditable, and aligned with compliance requirements.

· Partner with HR leadership to standardize workflows and reduce reactive, one-off decision-making.

Performance Management & Engagement Programs

· In partnership with the HR Coordinator, administer performance management cycles, including timelines, communications, system setup, and follow-through.

· Support employee engagement initiatives such as surveys (eNPS), recognition programs, and culture-building efforts.

· Partner with HR leadership to translate engagement insights into follow-up actions and improvements.

Cross-Functional Partnership

· Partner with Practice Management, Operations, and Finance to improve coordination, communication, and handoffs.

· Serve as a consistent HR point of contact for operational questions that require context, follow-through, or process clarity.

· Support leaders and managers with guidance on HR processes, expectations, and best practices.

Special Projects & Stabilization Initiatives

· Lead or support special HR initiatives focused on stabilization, compliance remediation, and operational improvement.

· Partner with HR leadership on system clean-up efforts, audits, and readiness activities tied to growth or expansion.

· Support readiness efforts related to new locations, regulatory requirements, and organizational scale.

Qualifications:

· Bachelor’s degree required.

· 2–3 years of direct employee relations experience, preferably in a healthcare environment.

· Demonstrated experience managing core people operations across the employee lifecycle.

· Strong working knowledge of HRIS platforms, with experience maintaining accurate employee data, supporting lifecycle transactions, and partnering on system clean-up or audits (Paylocity preferred).

· Experience developing or documenting HR processes, SOPs, templates, or workflows to streamline operations and improve consistency.

· Proven ability to partner with and influence cross-functional stakeholders and people managers during periods of high growth and change.

· Strong organizational and follow-through skills.
