Optima Dermatology is recruiting an experienced full time, experienced Medical Assistant to join our growing Dermatology and Medical Aesthetics group in Milford, OH.

Hours: Mon-Friday 7-4:30pm or 8-5:30pm

Responsibilities:

The following is an overview of the essential job functions and responsibilities; this may not be an all-encompassing list:

• Prepares exam rooms for patient use by cleaning the rooms between patients and ensuring that each room is stocked with the appropriate supplies. Prepares procedure trays as necessary.
• Escorts patient to exam room and checks vital signs as needed. Interviews patient to assess needs. Records reason for visit, current medications and takes temperature if necessary. Instructs patient how to prepare for physician's examination. Completes routine forms as appropriate.
• Assists physicians and other providers with patient procedures such as suture removal, wart and mole removal, minor surgeries, etc.
• Prepares specimens to be analyzed by an outside lab by packaging specimen appropriately, completing requisition form and contacting testing facility as necessary. Submits lab results to physician before contacting patient and filing patient's chart
• Schedules on-site and off‑site diagnostic tests and procedures by providing the patient with appropriate preparation instructions and making the appointment by phoning the patient or testing site. Records procedures ordered and tracks results.
• Facilitates referrals to other physicians by phoning their offices, making an appointment for the patient, and forwarding requested test results, etc.
• Contacts Hospital and outside sources regarding lab results, x‑ray results and ER reports; phones pharmacies to authorize prescriptions; contacts nursing homes regarding patient orders; contacts patients to relay test result information; and returns patients phone calls with the physician's recommendations for their care.
• Pre‑certifies medications and referrals by contacting the appropriate insurance professionals and providing them with the requested information. Records pre‑certification number in chart. Records and tracks all referrals.
• Takes manual inventory of drugs. Checks expiration dates and orders replenishments as needed. Orders supplies for back office as needed.
• Disinfects exam rooms and lab and straightens reception area daily.
• Performs all duties respectful of confidentiality and safety of all patients, employees, and physicians.
• Communicates with the physician and office manager on all issues that are vital to the improvement and continued success of the practice.

Qualifications:

• Demonstrated ability in taking patient vitals, injection/immunization procedures, charting and documentation, exam room preparation, infectious waste handling, sterile techniques and routine lab procedures and collection
• Oral communication skills needed to develop patient rapport, discuss orders with patients, patient's family, and pharmacies
• Written communication skills necessary for charting and documentation.
• Demonstrated ability in handling patient confidentiality.
• Ability to work with peers in a team situation
• Demonstrated knowledge and skills necessary to provide care appropriate to the age of the patients served.
• Licensed medical assistant or further nursing degree
• Minimum of one year of previous experience in dermatology medical office preferred
• Experience utilizing Modernizing Medicine / EMA Electronic Medical Record (EMR) highly preferred.

Position Details:

Reporting to the Director of Human Resources, the Recruiter will support the full-cycle recruitment process for all clinical support positions. This includes drafting and advertising positions, identifying and screening applicants, actively sourcing, scheduling, and coordinating interviews.

Responsibilities:

• Review applications and identify qualified candidates for further consideration
• Schedule and conduct initial phone or video screens and share candidate summaries, resumes, and notes with hiring managers
• Schedule video and coordinate in-person interviews for departmental leaders
• Source additional talent by utilizing a variety of techniques, tools, and sourcing channels, contacting passive candidates, and building pipelines for future hiring needs
• Draft and update job descriptions and manage posts across all channels, including job boards, posting sites, social media, etc.
• Maintain and update our Applicant Tracking System (Greenhouse), ensuring candidate data is accurate and up to date

Position Details:

A Biologics Coordinator on the Patient Services team is responsible for providing world-class customer service to all callers, Optima Dermatology patients and community members. They are responsible for building strong relationships, communicating effectively, and performing at a high level consistently to support assigned practices.  Utilizing multiple systems and leveraging technology, they address all Biologics new starts, reauthorizations, appeals, denials, and other requests from our practices.

They will work as a team with the medical assistants to support patient/caller needs within their scope. They will communicate updates with the provider, office staff, patients, specialty pharmacies, and pharmaceutical companies/hub vendors. They provide detailed information regarding status updates on biologics, support patients throughout the process, maintain communication with all parties, and plan for continued support, while maintaining compliance. 

A Biologics Coordinator maintains active involvement in the industry and keeps the organization informed of updates and programs. They also stay up to date with our Clinical Research Trials and will refer potential patients that may be candidates for trials.

Responsibilities:

• Answer Biologics incoming calls and voicemails to practices and direct patients as needed
• Process all new starts, and existing prior authorizations, appeals, etc.
• Educate patients on next steps for therapy, both after approval and denials
• Assist patients in getting enrolled in pap programs
• Work with specialty pharmacies and hub vendors
• Send and refill prescriptions to specialty pharmacies
• Reviews medical history and counsel patients regarding their clinical status and needs
• Assist patients in staying compliant with biologic medication
• Knowledgeable of all biologics and each assistance program
• Provides patient instructions verbally or in writing when necessary for Biologics
• Demonstrates effective call handling, including upset/dissatisfied customers
• Ability to manage calls in an organized manner, including trouble shooting issues and actively problem solving
• Ability to perform at high levels in listening skills and problem analysis.
• Works collaboratively with staff across service lines
• Displays in-depth knowledge of all departments at Summit
• Follows all HIPAA guidelines and complies with annual training
• Demonstrates an awareness and sensitivity towards patient/family rights
• Complies with departmental standards regarding training, professional development, communication, management of workload, and safety/emergency situations
• Ability to perform job duties at high levels using computer-based scheduling programs.

Minimum Qualifications:

• Medical experience/two years’ experience with biologics
• Prior dermatology experience
• Excellent verbal and written communication skills, including but not limited to use of proper grammar and phone etiquette
• Excellent customer service skills
• Strong interpersonal skills; must be able to work with a team and receive constructive feedback
• Excellent active listening skills and problem-solving ability
• Must be able to maintain composure and professionalism even during high stress situations

Responsibilities:

Employee Lifecycle Administration & Coordination

Responsibilities:

Optima Dermatology is recruiting an experienced full time Medical Receptionist / Clinical Research Study Assistant to join our growing Dermatology and Medical Aesthetics group in Boardman, OH.

Position Summary

The Medical Receptionist (MR)/Clinical Research Study Assistant (CRSA) is responsible for a variety of activities in support of clinical research studies.  The MR-CRSA works closely with and carries out the directives of the Sub-Investigator in all aspects of the care and treatment of clinical research subjects in compliance with study protocols throughout the research study.  The MR-CRSA is responsible for his/her delegated tasks as it relates to but is not limited to, the following areas: protocol requirements, patient visits (paper and electronic); laboratory and test article. The MR-CRSA must have knowledge of protocol design and Good Clinical Practices (GCP) as set forth by the Federal Regulations and International Conference of Harmonization (ICH) Guidelines for protecting human subjects and conducting clinical research. Knowledge of the International Air Transport Association (IATA) regulations for the transportation of Dangerous Goods is also necessary. Under the direction of the Sub-Investigator, the MR-CRSA will help ensure protocol compliance, Investigational Article accountability, and proper follow-up during the clinical trial.

Multi-site Dermatology Group Seeks Regional Trainer

Position Details:

The Regional Trainer works closely with the Training Manager and Director of Training and Compliance to execute training programs to enable our team members with the skills and competencies needed for their roles, while promoting Optima’s mission and vision. They will also provide Compliance department support as needed.

This position will be an in-office role, with occasional trainings being provided remotely. The Regional Trainer will be on site in any of our regional clinics 2-3 days per week and at their home clinic for the remainder of the week. This role requires travel to clinics in the region assigned to them, currently in IN and OH.

Training Responsibilities

• Deliver primary training for all new Medical Assistants (MA) and Medical Receptionists (MR). This will include MA/scribe workflows, clinical skills, EMR education and usage, Pathology and Lab workflows and documentation practices, and on-site OSHA/CLIA compliance training. Training will be conducted both on site and virtually.
• Assist in office preceptors with training and provide a smooth transition to preceptor led onboarding. Offer on-site support for current staff as needed.
• Work closely with Training Manager to coordinate necessary training schedules and track competency completion for team members located in region.
• Under the direction of Training Manager assist in developing new training standards, materials, and programs as needed to support organization initiatives.

Optima Dermatology is recruiting a Payor Contracting & Partnerships Senior Analyst to advance Optima’s commitment to make payor partnerships a strategic advantage for our practice. This full-time position is based out of our Portsmouth, NH corporate office.

Position Details:

Our philosophical approach toward Payors at Optima is one of collaboration to bring our patients and our Payor partners’ members value, including our unique approach toward increasing access to the highest quality care and providing complex Mohs surgeries in an office setting that are typically done in a HOPD. We have built strong payor relationships by demonstrating the value we add through increased access to high quality dermatologic care in underserved areas and performing complex surgeries at a fraction of the cost of alternative settings. The shared goal between Payors and Optima of early detection and treatment affords better patient outcomes with less invasive procedures and can significantly reduce healthcare costs for both patients and Payors. 

In this role you will support all aspects of payor contracting, including analysis, developing and executing on a strategy for each deal, developing presentations for payor meetings, and owning all administrative and coordination functions associated with the department. Payor contracting analysis includes leading and executing on all analytics related to market position, pricing models and fee schedule analysis, and continuously enhancing Optima’s processes and analytics for payor contracting. Two other key elements of the role are 1) Managing all communications with payors and 2) developing thoughtful presentations for all meetings with payors which are designed to advance our negotiations. A successful team member in this role will be results oriented and driven to build long-term relationship with payors. Effective results are measured by the outcome of a contract renewal.

Responsibilities:

Deals/Negotiations

• Model Payor position in each market, accounting for revenue, utilization, provider type, and lines of business, and product differentials through thoughtful navigation of challenging or fragmented data environments.
• Produce white papers to thoughtfully present payor relativity and provider relativity clearly targeted for to your intended audience.

• Prepares specimens to be analyzed by an outside lab by packaging specimen appropriately, completing requisition form and contacting testing facility as necessary. Submits lab results to physician before contacting patient and filing patient's chart
• Schedules on-site and off‑site diagnostic tests and procedures by providing the patient with appropriate preparation instructions and making the appointment by phoning the patient or testing site. Records procedures ordered and tracks results.
• Facilitates referrals to other physicians by phoning their offices, making an appointment for the patient, and forwarding requested test results, etc.
• Contacts Hospital and outside sources regarding lab results, x‑ray results and ER reports; phones pharmacies to authorize prescriptions; contacts nursing homes regarding patient orders; contacts patients to relay test result information; and returns patients phone calls with the physician's recommendations for their care.
• Pre‑certifies medications and referrals by contacting the appropriate insurance professionals and providing them with the requested information. Records pre‑certification number in chart. Records and tracks all referrals.
• Takes manual inventory of drugs. Checks expiration dates and orders replenishments as needed. Orders supplies for back office as needed.
• Disinfects exam rooms and lab and straightens reception area daily.
• Performs all duties respectful of confidentiality and safety of all patients, employees, and physicians.
• Communicates with the physician and office manager on any and all issues that are vital to the improvement and continued success of the practice.

Skills & Abilities Qualifications

• Demonstrated ability in taking patient vitals, injection/immunization procedures, charting and documentation, exam room preparation, infectious waste handling, sterile techniques and routine lab procedures and collection
• Oral communication skills needed to develop patient rapport, discuss orders with patients, patient's family and pharmacies
• Written communication skills necessary for charting and documentation.
• Demonstrated ability in handling patient confidentiality.
• Ability to work with peers in a team situation
• Demonstrated knowledge and skills necessary to provide care appropriate to the age of the patients served.

Educational & Experience Qualifications

• Licensed medical assistant or current nursing student
• Minimum of one year of previous experience in dermatology medical office preferred
• Experience utilizing Modernizing Medicine / EMA Electronic Medical Record (EMR) highly preferred.
