How This Role Makes a Difference
The CTMS Operations Analyst executes CTMS site and study build configuration, performs build quality control, provides technical support to Care Access users, and produces CTMS-sourced operational reporting to enable final build acceptance and platform governance. The Analyst prepares work for CTMS Operations Manager review, triages incidents, maintains runbook artifacts, and drives first-pass build quality. This role supports the CTMS Operations Manager’s responsibilities for platform governance, release/change-control, vendor coordination, and enterprise reporting
How You'll Make An Impact
- Populate CTMS entries (visits, procedures, schedules, financial elements, site personnel) according to company requirement; prepare and hand off builds to the CTMS Operations Manager for final review/acceptance.
- Execute build QC checklists, validate configuration and data, log defects with reproducible steps, remediate where possible, and escalate gating defects to the Manager or vendor. Track first-pass acceptance and defect remediation metrics.
- Provide day-to-day CTMS technical support for Study Start-Up (SSU), Source, Study Ops, Site Network and other Care Access users (access requests, role/tag maintenance, runbook guidance); deliver study-specific CTMS training as assigned.
- Produce standard CTMS reports and operational dashboards used by SSU/Study Ops; perform ad-hoc data pulls to support study readiness and cross-functional decision-making
- Maintain build checklists, runbooks, and training materials; propose process improvements that reduce rework and improve build quality and throughput.

- Maintain accurate build documentation and audit trails for study readiness and compliance.
- Support the CTMS Operations Manager in vendor ticketing and incident tracking when escalated.
- Assist with onboarding and training of new CTMS Analysts and temporary staff.
The Expertise Required
- Working knowledge of CTMS configuration and study-build processes (experience with Conductor, Florence, Veeva, or comparable CTMS preferred).
- Strong attention to detail and experience executing QC/checklist work.
- Ability to run and interpret CTMS exports/queries and translate results for non-technical stakeholders.
- Practical experience creating operational reports and dashboards (Conductor, Excel, BI tools).
- Effective written and verbal communication for user support and cross-functional coordination.
- Familiarity with ICH-GCP, SOPs, and audit processes.
Certifications/Licenses, Education, and Experience:
- Bachelor’s degree preferred (or equivalent experience).
- 2-4 years of CTMS/platform or clinical systems experience, with 1+ years directly supporting CTMS, study builds, or clinical data operations.
- Preferred certifications: CTMS platform/certification training, GCP/clinical research certifications, or relevant technical certifications.

- Travel: Minimal (<10%), planned in advance.

How This Role Makes a Difference
As a People & Talent Administrator at Care Access, you will play a dual role in supporting both recruitment and HR administrative functions across several international locations outside the US, including Poland, the UK, and other countries. Reporting to the Director, Global HRBP you will be instrumental in helping scale our growing team by identifying top talent and ensuring smooth HR operations. This is a dual focus role with responsibilities flexing between recruitment and people administration based on business needs, with a particular emphasis on supporting Poland and the UK.
How You'll Make An Impact
- People Administration Responsibilities:
- Support payroll consolidation processes in collaboration with external vendors.
- Manage local employment contracts, documentation, and HR records in line with GDPR and local regulations.
- Assist with onboarding and offboarding processes, ensuring compliance and smooth transitions.
- Support health and safety compliance efforts in line with local regulations.
- Track and manage employee absences and leave requests.
- Maintain accurate HR records and documentation.
- Respond to employee inquiries and provide administrative support across HR processes.
- Collaborate with internal stakeholders and external partners to ensure HR operations run smoothly.
- Contribute to continuous improvement of HR processes and systems.
- Talent Acquisition Responsibilities:
- Champion employer branding and ensure a strong candidate experience across OUS markets.
- Source candidates through various channels, including job boards, social media, networking, and referrals.
- Screen resumes and applications to identify qualified candidates for open positions.
- Conduct initial interviews to assess candidate suitability and cultural fit.
- Coordinate and schedule interviews with hiring managers and other stakeholders.
- Work collaboratively with hiring managers to understand job requirements and develop selection criteria.
- Build and maintain relationships with candidates to facilitate a positive candidate experience.
- Provide guidance and support to hiring managers throughout the recruitment process.

The Expertise Required
- Strong understanding of recruitment processes and techniques.

- Ability to work independently and collaboratively in a fast-paced, international environment.
- Proficiency in HRIS and applicant tracking systems (Workday and Greenhouse preferred).
- Flexibility and adaptability to meet changing business needs.
Certifications/Licenses, Education, and Experience:
- Minimum of 2–3 years of experience in recruitment and/or HR administration.
- Bachelor's degree in Human Resources, Business Administration, or related field preferred.
- English & Polish language fluency is essential.
- Experience supporting international HR operations is a plus.
- Familiarity with local labour laws and HR practices in Poland and the UK is highly desirable.

How This Role Makes a Difference
The Country Site & Client Success Lead – Poland is a senior, client-facing operations role responsible for strengthening Care Access’s clinical study pipeline in Poland. This position represents local site and delivery excellence to sponsors and CROs, serving as the primary operational authority for Poland in external engagements. The role bridges Client Success and Site Success by translating commercial opportunities into credible delivery plans, building execution confidence, and accelerating the conversion of opportunities into awarded and successfully activated studies.
How You'll Make An Impact
- Represent Poland in sponsor and CRO meetings, articulating site readiness, regulatory pathways, and delivery capability to build confidence in Care Access execution
- Act as the trusted local authority on operational execution risk, proactively identifying mitigation strategies and setting realistic expectations
- Partner with Business Development to shape Poland-specific bid strategies, providing accurate site feasibility, timelines, and operational assumptions
- Support re-engagement and advancement of stalled or complex opportunities by clarifying delivery plans and resolving operational concerns
- Build and maintain strong relationships with sponsor and CRO leadership to increase Care Access visibility, credibility, and reputation in the Polish market
- Ensure continuity and alignment from pre-award through post-award handoff, supporting faster site activation and smoother study startup
- Provide structured market feedback and intelligence to Clinical Operations and Business Development teams.
- Align local site teams on consistent, high-quality external messaging.
- Support sponsor-facing preparation activities, including feasibility reviews and operational readiness discussions.
- Contribute to continuous improvement of country-level delivery and client engagement models.
The Expertise Required
- Deep understanding of the Polish clinical trial landscape, including regulatory pathways, site operations, and startup requirements.
- Strong client-facing communication skills with executive presence and credibility.
- Ability to translate commercial discussions into operationally sound and executable delivery plans.
- Proven capability to influence without authority and collaborate effectively across Clinical Operations, Business Development, and Site teams.
- Strategic mindset balanced with strong execution and delivery focus.
- Ability to identify and communicate execution risks clearly and constructively.
- Bachelor’s degree in Life Sciences or a related field required.
- Minimum of 7 years of experience in clinical research operations.
- Demonstrated experience working with sponsors and CROs in a client-facing capacity.
- Fluency in Polish and English (written and spoken) required.
How We Work Together
- Location: Work is in the field - Warsaw and surroundings.
- Travel: This role requires up to 40–50% travel. Travel may include sponsor and CRO meetings, site visits, and participation in industry or company meetings. Length and frequency of travel will depend on study needs, business development activities, and company initiatives.
