Join our accounting team as an Accounts Receivable Specialist and play a key role in ensuring accurate and timely payment processing that supports the financial operations of our communities.

Summary:

The Accounts Receivable Specialist - Cash Posting is responsible for processing and maintaining all cash posting functions within the Accounts Receivable Department. This role ensures timely, accurate, and efficient posting of payments and related transactions while maintaining strong attention to detail and effective communication with internal and external partners.

Schedule: Monday to Friday: 8:30 AM to 5:00 PM

Compensation: $22 to $28 per hour

The final offer will be based on experience and qualifications. In addition to base pay, the company offers a comprehensive benefits package including health insurance, retirement plans, and paid time off.

Key Responsibilities

• Process daily owner payments received through lockbox, remote scanner, and onsite payment channels.
• Prepare and deposit manually received owner checks.
• Process deposits for escrow, staff accountant, and attorney payments.
• Enter miscellaneous charges, adjustments, and credits into the accounting system.
• Research and resolve misapplied or returned payments in a timely manner.
• Communicate with banking partners to resolve payment research items and discrepancies.
• Maintain accurate payment records and reconcile daily cash postings.
• Post monthly utility charges and update monthly assessments.
• Respond to internal and external payment inquiries through the Jira ticketing system.
• Partner with the Accounts Receivable team and accounting staff to support month-end close.
• Provide responsive and professional service when addressing account balance and payment questions.
• Support other accounting and department activities as needed.

Qualifications

• 1+ years of experience in accounting, accounts receivable, cash posting, or a similar finance role preferred.
• Strong attention to detail with a high level of accuracy in data entry and financial records.
• Ability to research discrepancies and resolve issues independently.
• Strong organizational skills with the ability to manage multiple priorities.
• Proficiency in Microsoft Office, including Excel, Outlook, and Word.
• Experience using accounting systems and Adobe Acrobat.
• Strong written and verbal communication skills.
• Ability to work effectively in a team-oriented environment.

• Experience with CINC accounting software preferred.
• Experience with point-of-sale systems such as PAX preferred
• Familiarity with Power BI or similar reporting tools.
• High school diploma or equivalent required.

• Associate’s or bachelor’s degree in Accounting, Finance, or a related field preferred.

• Must be able to pass a background check and drug screen.

Action is seeking a Full-Time Front Desk Associate to join our luxury association, Marquee Park Place in Irvine.

Compensation: $19 to $20 per hour

Schedule: Thursday to Monday; 3:00 PM to 11:30 PM

What You’ll Do (Job Duties)

Represent Action Property Management and the Association by delivering exceptional 5-star customer service and ensuring 100% resident satisfaction.

Maintain the appearance of the front desk area, lobby, and main elevators.

Monitor lobby activity and maintain access control.

Provide concierge services.

Complete Daily Activity Report

Answer and direct incoming phone calls. Receive and distribute resident parcels.

Address resident and guest concerns and questions

Demonstrate strong understanding of the association's governing documents.

Who You Are (Skills/Experience)

Must be over 18 years of age and successfully pass a pre-employment background check and drug screening.

High school diploma or GED equivalent is required.

At least 1 year of customer service experience.

Hospitality, luxury retail or fine dining experience is preferred.

Hospitality Management college students or recent graduates are highly desired. Polished and professional appearance and demeanor

Job Summary

The Director, Accounting Operations is responsible for the execution and performance of HOA service models, including SnapHOA and similar portfolios, and oversees Accounts Receivable functions, including cash posting, collections, and receivables-related workflows. This role sits between Accounting and Operations and owns the intake, coordination, and flow of information required to support accurate financial reporting and consistent client service. The position ensures that operational activity is visible, structured, and aligned with accounting requirements, while improving service delivery, reducing risk, and standardizing workflows across accounts.

This is a hybrid position based out of the Irvine corporate office.

Compensation: up to $145k depending upon experience

Key Responsibilities

Own the execution and performance of HOA service models, including SnapHOA and similar portfolios, ensuring consistency in service delivery and alignment with client expectations
Lead and oversee Accounts Receivable functions, including cash posting, collections, and receivables-related workflows, ensuring timely and accurate processing aligned with client activity
Own intake and coordination of all accounting-related requests, including JIRA ticket triage, prioritization, and routing, ensuring work is structured, visible, and aligned with deadlines and board deliverables
Ensure operational activity is visible to accounting by maintaining awareness of ongoing projects, vendor changes, and upcoming financial impacts that affect reporting accuracy
Act as the first point of coordination for client-facing accounting needs, including responding to inquiries, managing ticket flow, and ensuring timely follow-up and resolution
Establish and enforce service standards across accounting workflows, including SLAs, prioritization frameworks, and escalation protocols tied to financial deadlines and board requirements
Drive consistency in how data and documentation are submitted to accounting, reducing rework and improving the quality and completeness of inputs across all accounts
Partner with the Director, Client Accounting to ensure alignment between operational workflows and financial reporting requirements, including close readiness and exception resolution
Identify service gaps, workflow breakdowns, and recurring issues, and implement process improvements to improve efficiency, reduce risk, and enhance client experience
Support board interactions as needed by coordinating financial input, managing expectations, and ensuring accounting is properly represented in service delivery
Assist in the development and maintenance of SOPs, standardizing workflows across service models and improving consistency in execution
Support department strategy and implementation of new initiatives, including system enhancements, reporting improvements, and service model evolution

KPI Ownership

Own and report on service-level performance metrics, including:

JIRA response and resolution times
Volume and type of client inquiries and escalations
Operational input completeness and timeliness
Rework and exception rates tied to missing or incorrect data
Cost-to-serve and resource utilization across service models
Board-related escalations tied to service or communication gaps
AR cash posting timeliness and accuracy
Collection response times and delinquency visibility

Project Ownership

Lead initiatives to improve HOA service models (SnapHOA and similar), including workflow redesign, intake structure, and communication frameworks
Drive implementation of SOPs and process standardization across portfolios
Partner cross-functionally with Operations, IT, and Accounting on system improvements and service delivery enhancements
Improve and standardize Accounts Receivable workflows, including cash posting, collections, and receivables-related processes

Position and Work Environment

Hybrid position based out of the Irvine corporate office. Emphasizes a collaborative atmosphere with open communication and mutual respect among team members.

Required Skills / Abilities

10+ years of progressive accounting experience, including a minimum of 5 years in a leadership role managing large teams.
Bachelor's degree in Accounting required; MBA, CPA, or other advanced credentials strongly preferred
Proven success in driving operational change and optimizing financial systems and processes.
Advanced Excel skills; proficiency in PowerPoint and Word. Power BI and other AI software.

We are seeking an Overnight Front Desk/Front Gate Associate for our Marquee Park Place association located in Irvine, CA.

Schedule:

Front Desk: Saturday and Sunday: 11:00 PM to 7:30 AM

Front Gate: Monday-Tuesday 11:00 pm-7:30am

Compensation: $19 to $20 per hour

Job Summary

The purpose of a Front Desk/Front Gate Associate will maintain the front desk and lobby area as well as provide a constant security presence inside of the gatehouse and respond as necessary to the needs of the property. Front Gate Associate are responsible for ensuring that access is controlled, the HOA’s rules are being followed and the property is well maintained. Front Gate Associates must at all times display a professional appearance and speak in a polite manner and clear tone, including answering telephones or addressing people who have approached the gatehouse.

What You’ll Do (Job Duties)

Report any concerns to Management, Engineering or Janitorial as appropriate.

Represent Action Property Management by greeting residents, guests, and other visitors at the gatehouse in a welcoming and professional manner.

Be familiar with the parking structure.

Answer phones and greet all residents and guests as they enter or exit the property.

Maintain the appearance kiosk area by assuring it is organized and clean at all times; summon the janitorial or maintenance staff when needed.

Note accurately any issues or information throughout the work shift in the Daily Activity Report; read the pass-on log and read any e-mails for information pertinent to Front Gate Associate; communicate effectively with co-workers to assure a smooth transition of shifts.

Follow established procedures to have the residents receive their parcel, document the acceptance of parcels or other deliveries, both incoming and outgoing.

Document reports of disturbances that occur; evaluate the situation and contact the proper authority (i.e. Police, Fire Department, Management) to resolve the problem.

Coordinate Resident moves in accordance with the Association’s approved hours; assure that Common Areas are adequately protected.

Properly operate the Elevator Control System so that guests, contractors and other visitors are sent to the proper floor.

Utilize and implement the Front Desk Procedures Manual including the Shift Inventory Log and the Pass-On Log.

Monitor and maintain an adequate inventory of forms, supplies and other items used at the gatehouse and promptly notify Supervisor when in need of replenishment.

Regularly observe building activity as captured by surveillance cameras and displayed on security monitors; report suspicious or abnormal activities to Action staff and management, building security, or Law Enforcement, as appropriate; prepare detailed documentation of incidents according to established procedures.

Report complaints, reports of nuisance, and non-compliance issues to Management per the post instructions. Submit Incident Reports when necessary.

Understand and implement Emergency Procedures when required; understand and coordinate appropriate communications with residents and emergency personnel in the event of a fire alarm, fire, flooding, earthquake, or other emergency event.

Follow all “Post Instructions” and adhere to the Association’s Governing Documents, CC&Rs, and the Rules and Regulations of the Association; be familiar with, and adhere to, all association policies, emergency procedures, and evacuation procedures.
