Role Summary
This role is responsible for the design, development, optimization, and operational management of Software Asset Management (SAM) capabilities within the ServiceNow SAMPro and Flexera ecosystem. The position partners with Software Owners, Procurement, Finance, Legal, and IT teams to build scalable processes, improve software lifecycle governance, ensure compliance, optimize software spend, and enable data-driven decision-making for Software and SaaS assets.
Key Responsibilities
Platform Ownership & Application Development
- Serve as the functional and technical lead for ServiceNow SAMPro and Flexera platforms, ensuring alignment with enterprise software asset management objectives.
- Design, configure, enhance, and support SAM workflows, integrations, data models, and reporting capabilities within ServiceNow and related platforms.
- Partner with ServiceNow administrators, developers, and architects to implement platform improvements, automation opportunities, and new SAM capabilities.
- Maintain awareness of software discovery and inventory technologies and ensure effective integration with SAM platforms to support accurate license reconciliation and compliance.
- Manage and optimize the ServiceNow Content Library, including publisher content requests, software models, and part number normalization activities.
Software Asset Lifecycle Management
- Manage the complete software and SaaS asset lifecycle, including procurement, deployment, usage monitoring, optimization, renewal, and retirement.
- Maintain accurate software license entitlement records, contracts, maintenance agreements, software models, and licensing metrics.
- Analyze software consumption, utilization, and spend data to identify optimization, rationalization, and cost reduction opportunities.
- Review top software publishers and products to ensure licensing accuracy, compliance, and cost optimization.
- Coordinate software maintenance and subscription renewals with software owners and stakeholders.
License Compliance & Governance
- Interpret software licensing agreements and contractual terms to ensure compliant software usage across the enterprise.
- Support software publisher audits, license true-ups, reconciliations, and compliance assessments.
- Provide advisory services to software owners regarding licensing risks, entitlement management, and audit defense strategies.
- Partner with Procurement, Legal, Finance, and Software Owners during contract negotiations, renewals, and dispute resolution activities.
Data Quality, Analytics & Reporting
- Ensure integrity, completeness, and quality of software asset data across ServiceNow SAMPro, Flexera, and integrated systems.
- Develop dashboards, reporting solutions, KPIs, and analytics to measure SAM effectiveness, compliance posture, software utilization, and financial performance.
- Troubleshoot licensing, normalization, reconciliation, discovery, and entitlement-related data issues within ServiceNow SAMPro.
- Deliver actionable insights on software entitlement, installation, usage, renewals, and optimization opportunities.
SaaS Management & Integration
- Expand SaaS visibility through integrations with vendor portals and software publisher platforms.
- Validate integration accuracy through reconciliation activities and partnership with software product owners.
- Drive continuous improvement of SaaS subscription management, optimization, and consumption reporting capabilities.
Demand, Procurement & Contract Management
- Create, maintain, and manage software demand records within ServiceNow to support budgeting, forecasting, and portfolio planning activities.
- Review software and SaaS purchasing requests, contract requirements, and approval workflows to ensure compliance with organizational policies.
- Support software request fulfillment processes, including requisition management, purchase orders, invoice validation, and contract administration.
- Coordinate communications among software owners, service providers, Finance, Procurement, and Legal teams throughout the software acquisition lifecycle.
Strategic Planning & Continuous Improvement
- Evaluate emerging technologies, industry trends, and SAM best practices to enhance platform capabilities and operational effectiveness.
- Identify opportunities to improve processes, automation, governance, and user experience across SAM services.
- Influence stakeholders and vendors to drive adoption of strategic SAM initiatives and achieve business objectives.
- Develop recommendations that balance cost, compliance, risk, scalability, and user experience considerations.
Qualifications & Experience
Required Experience
- Extensive experience in Software Asset Management, Software License Management, and SaaS Asset Management.
- Hands-on experience with ServiceNow SAMPro, Flexera, and software discovery/inventory solutions.
- Strong understanding of software licensing models, entitlement management, publisher audits, and software compliance practices.
- Experience developing, enhancing, or supporting enterprise application platforms and workflow automation solutions.
- Demonstrated ability to analyze complex software licensing and contractual agreements and translate requirements into operational processes.
Technical Knowledge
- Strong understanding of ServiceNow platform capabilities, ITSM processes, and ITIL practices.
- Familiarity with software discovery, normalization, reconciliation, and asset lifecycle management processes.
- Experience with reporting, analytics, KPI development, and data quality management.
- Knowledge of SaaS integrations, API-based data exchange, and software consumption analytics.

Preferred Certifications
- ServiceNow SAM Professional Certification.

- ITIL Foundation Certification.
