The role will be responsible for creating a welcoming experience for patients while efficiently managing appointments, inbound and outbound calls, patient coordination, and day-to-day clinic administration.
The ideal candidate should have strong communication and interpersonal skills, a customer-focused approach, and the ability to handle multiple responsibilities in a busy healthcare environment. Experience in a clinic, hospital, diagnostic centre, or healthcare facility will be preferred.
This role also involves supporting patient conversion and follow-ups, making sales-oriented calls, explaining services, coordinating appointments, and ensuring smooth patient flow throughout the clinic.

- Manage the clinic's front desk and reception area efficiently and professionally.
- Welcome patients and visitors, understand their requirements, and direct them appropriately.
- Handle inbound and outbound calls related to appointments, enquiries, follow-ups, and patient services.
- Schedule, reschedule, confirm, and manage patient appointments.
- Coordinate appointment schedules with doctors, consultants, therapists, and other clinical staff.
- Follow up with prospective patients and support appointment conversions and service enquiries.
- Explain clinic services, procedures, packages, and basic information to patients in a clear and professional manner.
- Maintain accurate patient details, appointment records, follow-up information, and other front-office documentation.
- Manage patient flow and minimise waiting-time-related issues through effective coordination.
- Coordinate with doctors, nurses, technicians, administrative staff, and management for smooth clinic operations.
- Handle patient queries and concerns professionally and escalate issues when required.
- Support basic sales and customer engagement activities to improve patient acquisition and retention.
- Conduct follow-up calls with patients regarding consultations, procedures, reports, or future appointments.
- Maintain daily appointment schedules and ensure timely communication of changes or cancellations.
- Assist with billing coordination, receipts, and other basic administrative activities as required.
- Maintain confidentiality and handle patient information responsibly.
- Ensure the reception area remains organised, professional, and welcoming.
- Support the overall day-to-day management and smooth functioning of the clinic.
What Makes You a Great Fit
- 1+ years of experience in front-office, reception, customer service, sales, or administrative roles.
- Prior experience in a clinic, hospital, healthcare centre, diagnostic centre, or similar healthcare environment is preferred.
- Strong communication skills with a polite, confident, and patient-friendly approach.
- Hands-on experience handling appointments, patient coordination, and telephone calls.
