About the Role
We’re looking for a detail-oriented Data Transfer Associate to join our Customer Success team with a focus on our foundational data operations. In this role, you are the facilitator of first impressions and data accuracy. You will be responsible for managing the initial stages of the data migration journey, ensuring that customers feel supported from their very first interaction while maintaining the integrity of our most straight-forward data transfers.
As a Data Transfer Associate, you handle the essential "first-touch" communications and process standard datasets—from clinical workflows to basic demographics. You will serve as a foundational partner within the team, ensuring the high-volume, core data work that keeps
SimplePractice running smoothly is executed with precision.
What sets Data Transfer Associate apart?
● Foundational Execution: You focus on the core "Doing" of the data transfer process: processing, supporting, and coordinating essential transfers.
● First-Touch Ownership: You act as the initial point of contact for customers beginning their data move, setting the tone for a professional and seamless onboarding experience.
● Technical Learning: You are in a "Learning" phase, utilizing reference materials and team resources to master data cleansing and system requirements.
● Quality Review: You perform basic data reviews and transformations, ensuring that standard files are formatted correctly before they enter the system.
What would you do for us?
Core Data Operations (90%)
● First-Touch Communication: Send professional, empathetic first-touch responses to customers to kick off their data transfer process and set clear expectations.
● Process Standard Transfers: Execute straight-forward data migrations from spreadsheets and CSVs, ensuring data is mapped accurately to SimplePractice requirements.
● Basic Data Review: Review incoming customer datasets for common errors, performing essential cleansing (trimming, formatting, and organization) to prepare files for import.
● Administrative Support: Assist in coordinating the transfer queue, ensuring that standard tasks are moved forward and deadlines are met.
● Compliance Adherence: Follow all regulations and policies around HIPAA, PHI, and PII with diligent attention to detail.
Learning & Development (10%)
● Skill Building: Focus on developing competency in Microsoft Excel, Google Sheets, and basic SQL under the guidance of a Team Lead or Specialist II.
● Knowledge Base Engagement: Utilize and contribute to team macros and internal documentation as you learn the SimplePractice product and common workflows.
● Team Participation: Participate in team meetings and shadow more complex "Group" migrations to prepare for future growth into the Specialist track.
Data Transfer Associate Must-Haves:
● Experience: Limited to no previous professional experience; some roles may require a specific educational background or degree.
● Technical Foundation: Familiarity with Microsoft Excel or Google Sheets (e.g., you can perform basic data organization and understand simple formulas).
● Attention to Detail: High level of accuracy when reviewing data and a commitment to maintaining data integrity.
● Communication Skills: Confident and sensitive communication style, suitable for being the "first touch" for our customers.
● Personal Accountability: Ability to manage assigned tasks and deadlines with a proactive and coachable mindset.
Preferred
● Prior experience in a customer-facing or administrative role.
● Familiarity with SimplePractice or healthcare software workflows.
