We’re looking for a highly organised and detail-focused Administration & Approvals Officer to join the team. This is a hands-on, process-driven role where you’ll be responsible for reviewing job documentation, verifying waste and billing information, and approving jobs once all details have been checked.

You’ll work closely with Operations, field teams and the wider Billings team to investigate discrepancies, update job records and ensure information is accurate before jobs are approved. We’re looking for someone with strong attention to detail who enjoys working through information, following processes and picking up the phone to get answers.

What you’ll be doing

• Review waste dockets and weighbridge tickets to ensure job numbers, dates, quantities and waste types match system records.
• Check the EPA portal to determine whether waste is classified as hazardous and download the relevant certificates.
• Apply client-specific billing rules, including quantities, rates and third-party account requirements, before approving jobs.
• Approve waste disposal jobs once all information has been verified.
• Update job statuses in Connexion, cross-checking information submitted by field teams and client portals.
• Identify, investigate and escalate discrepancies between docket information and system data.
• Communicate with Operations, drivers and field staff to clarify unclear or missing information.
• Complete data entry, status updates and other overflow administration tasks to support the wider Billings team.
• Manage a high volume of records and queries while working across multiple systems and screens.
• Maintain accurate job records and ensure all required documentation is attached and up to date.

What we’re looking for

• Previous experience in administration, data entry, billing, invoicing, operations support or a similar process-driven role.
• Exceptional attention to detail and a strong focus on accuracy.
• Comfortable working with high volumes of information and following established processes.
• Confident communicator who is comfortable picking up the phone and following up with Operations and field staff.
• Proactive approach - you’re comfortable investigating discrepancies, asking questions and escalating issues when required.
• Strong organisational skills and the ability to manage competing priorities in a fast-paced environment.
• Comfortable learning and switching between multiple systems, portals and screens.
• Construction or waste industry experience is beneficial
